Job description

Please be advised that a temporary, 6-month Receptionist position is available with an initial work assignment in Edmonton within the Reception department.

Summary of Duties

The incumbent is the initial point of contact in most instances; thus, a high level of courteousness and professionalism is required. The incumbent will need to have de-escalation skills and will be responsible for detecting suspicious or escalating behaviours. The duties assigned to this position are of moderate complexity, routine in nature and varies according to the details of tasks performed. The work includes a wide variety of repetitive tasks where some exercise of judgment and decision making based on established procedure is required.

Required Qualifications

  • Grade 12 Diploma
  • Knowledge of common office procedures

Preferred Qualifications

  • Alberta Basic Security Training Course
  • Alberta Security Service Worker License
  • Familiarity with incident report writing
  • Excellent surveillance and observation skills
  • Trained in Standard First Aid with CPR and AED accreditation
  • Trained in de-escalation techniques

Experience

  • Previous: Two (2) years in clerical office environment, or front desk security guard

Key Activities

  • Reception
    • Receives and greets visitors.
    • Directs calls to proper individuals, takes messages and provides information.
    • Directs visitors to proper departments or AUPE staff.
    • De-escalates situations of conflict, while remaining calm and professional.
    • Ensures all employees and visitors have proper credentials for accessing buildings (ID badges and passes).
    • Identify potential security risks and respond accordingly.
    • Receives packages at front desk.
  • Data Entry
    • Enters data of various types into computer programs i.e.) schedules, meetings, books meeting rooms.
    • Completes incident reports and required documentation for all security incidents.
  • General Office Duties
    • Photocopies, faxes, e-mails, laminates, collates, shreds.
    • Sort mail into individual mail slots.
    • Keeps various manuals up to date.
    • Books meetings rooms.
    • Inputs various information on computer as required.
    • Trains backups in proper reception procedures.
    • Various clerical duties as required and assigned.
  • Other Skills/Abilities
    • Ability to juggle multiple tasks and to work well under pressure.
    • The incumbent must possess a pleasant manner, as they regularly are required to work with members or other staff in stressful situations.
    • Ability to maintain effective working relationship with the membership, the public and other Employees.
    • Monitor alarms and security cameras.
    • Coordinate emergency response procedures and dissemination of internal communications regarding safety and security processes to staff members.

The salary and benefits are as per the Collective Agreement between AUPE and AULReP.
