Job Overview:
We are seeking a dynamic and detail-oriented HR Generalist to support the Human Resources department by managing a variety of HR processes for existing staff. This role will focus on ensuring smooth operational processes, legal compliance, employee engagement, and supporting the HR department with strategic HR functions. The HR Generalist will play a key role in maintaining a positive workplace environment and supporting the organization’s HR initiatives, working as part of a collaborative team that supports our coordinators, managers, front-line staff, and reports directly to the HR Director.
The ideal candidate will possess strong interpersonal and communication skills, with the ability to be approachable, empathetic, and a great listener. You will have high emotional intelligence and the ability to handle sensitive situations with discretion and fairness. A collaborative nature is essential, along with the ability to build trust across diverse teams. You are well-organized with a proactive approach to problem-solving and managing multiple priorities.
Responsibilities
The HR Generalist is responsible for the administration of the day-to-day operations of the human resources functions and duties and carries out responsibilities in each of the following functional areas:

Duties And Responsibilities
Key Responsibilities:
- HR Processes for Existing Staff:
- Evaluations / Recognition: Coordinate and manage employee performance evaluations and recognition programs to foster a culture of acknowledgment and growth.
- Policies & Procedures (P&P) Protocols: Ensure adherence to HR policies and procedures, implementing protocols consistently and effectively.
- Correction & Discipline: Administer the correction and disciplinary procedures, ensuring compliance with company policies and labor regulations.
- Benefits / Pension / RRSP: Oversee employee benefits, pension plans, and RRSP processes, Long Term Disability documentation, and answering inquiries.
- Leaves Management: Handle and track employee leave requests, including sick time, Workers’ Compensation (WCB), and non-occupational illness leaves.
- Resignations: Manage employee resignation processes, ensuring proper documentation and exit protocols are followed.
- Terminations: Support terminations in collaboration with the HR Director and/or Executive Director, ensuring proper documentation and compliance with legal requirements.
- Work and Study Permit Compliance/Tracking – tracking and maintaining employee work and study permits to ensure ongoing eligibility to work in Canada, in compliance with Immigration, Refugees and Citizenship Canada (IRCC) regulations.
- HR Payroll Adjustments: Manage and process payroll adjustments related to HR matters, ensuring accurate payroll data.
- Safety Committee: Act as a liaison for the safety committee, coordinating activities and ensuring safety procedures are followed.
- Coordination of Training: Organize and facilitate training sessions, ensuring employees are equipped with the skills and knowledge required for their roles.
- CARF Preparation & QA Support: Assist with CARF accreditation preparation and quality assurance support for compliance with standards.
- Support to HR Director with Legal Claims: Provide support to the HR Director in managing legal claims, assisting with documentation and investigation as required.
- HR Monitoring/Reporting: Regularly monitor HR metrics and provide reports on employee data, trends, and other relevant HR information.
- Talent Acquisition Support:
- Pre-Screening Casuals Resumes: Assist the Talent Acquisition Leader by pre-screening resumes for casual positions, as needed.
- Vacation Coverage: Provide vacation coverage for the Talent Acquisition Leader and HR Director, ensuring HR operations continue seamlessly.
Qualifications & Skills
- Proven experience as an HR Generalist or in a similar HR role.
- In-depth knowledge of HR processes, policies, and best practices, including changes in employment status, downgrading or elimination of positions, leaves of absence
- Strong understanding of employment laws and regulations, including WorkSafe, employment standards, licensing and accreditation standards
- Excellent organizational, communication, and interpersonal skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and a proactive approach to problem-solving.
- Ability to manage multiple tasks and priorities effectively.
- Experience in working with HRIS (Human Resources Information Systems) is an asset.
- A degree in Human Resources, Business Administration, or a related field is preferred.
