Role

The Sales Coordinator will be responsible for supporting the sales team's operational efficiency by managing administrative tasks, maintaining CRM accuracy, coordinating schedules, and ensuring seamless follow-up processes. This role serves as the backbone of sales operations, enabling the enrollment and closing teams to focus on revenue-generating activities. Success requires exceptional organization, attention to detail, and proactive communication.

Responsibilities
  • Maintain and update CRM with accurate lead information, call notes, and pipeline status
  • Inbound application grading for prospects
  • Schedule and coordinate sales calls, follow-ups, and client onboarding activities
  • Send follow-up emails, texts, and reminders to prospects on behalf of the sales team
  • Manage sales collateral, proposals, contracts, and presentation materials
  • Track KPIs, generate sales reports, and maintain dashboards for team visibility
  • Handle administrative tasks including calendar management, data entry, and file organization
  • Support lead nurturing campaigns and re-engagement sequences
  • Coordinate communication between sales team members and other departments

Requirements
  • Proven experience as a virtual assistant, sales coordinator, or in a similar administrative support role
  • Strong organizational and time management skills with ability to handle multiple priorities
  • Excellent written and verbal communication skills with professional demeanor
  • High attention to detail and commitment to accuracy in all tasks
  • Proficient with CRM systems (GoHighLevel, HubSpot, Close, or similar platforms)
  • Comfortable with sales tools including scheduling software, email platforms, and project management systems
  • Self-motivated and proactive with ability to anticipate needs and solve problems independently
  • Reliable internet connection and professional remote work setup
  • Adaptable and quick learner who thrives in a fast-paced sales environment
  • Agency or PR / marketing background is a plus
