THE POSITION

The Coordinator of Government Relations and Host City Management provides administrative, organizational, and operational support to the Manager and Head of the area, ensuring structure, information organization, and adequate preparation for institutional interactions with public authorities and government partners at the federal, state, and municipal levels.

As the focal point for organization and follow‑up, this professional supports the transformation of strategic demands into structured materials, organized agendas, and systematic follow‑up, helping the area's leadership to focus its efforts on institutional coordination, decision‑making, and diplomatic relations.

KEY RESPONSIBILITIES
  1. Administrative, Documentary, and Information Support
    • Document management: Organize, catalog, and keep digital (and physical, when applicable) files of official letters, letters, contracts, minutes, reports, and communications related to governments and host cities up to date.
    • Flow and deadline control: Monitor the status, follow‑up, and response deadlines for official letters, requests, and internal and external demands, ensuring visibility for leadership.
    • Preparation of materials: Prepare initial drafts, structure content, and format presentations, progress reports, tables, and executive summaries, under the guidance of Management.
  2. Organization of Agendas, Meetings, and Logistics
    • Institutional agenda management: Plan and coordinate meetings, technical visits, and workshops with public stakeholders, including invitations, reservations, and prior alignments.
    • Preparation of meetings: Compile agendas, participant lists, pre-reading documents, and support materials for leadership.
    • Minutes and follow‑up: Write meeting minutes in a clear and objective manner and follow up on the implementation of agreed actions, reporting on progress and pending issues.
  3. Operational Liaison and Strategy Support
    • Operational point of contact: Act as the first point of contact with technical and administrative teams from ministries, secretariats, and city halls for operational issues and routine information exchanges.
    • Strategy support: Collect, organize, and systematize data and information to support technical notes, analyses, and institutional positions prepared by Management.
    • Contract monitoring: Update reports, spreadsheets, and instruments for monitoring the commitments set forth in the Host City Contracts, signaling risks, gaps, and critical deadlines.
YOUR PROFILE
Education
  • Bachelor’s degree in International Relations, Business Administration, Communication, Law, or related areas of the Humanities and Social Sciences.
Experience
  • Proven experience in high-level administrative support, coordination, project management, executive secretarial or office management functions, preferably in institutional, governmental or corporate environments with high organizational complexity.
Technical Skills
  • Advanced proficiency in Office Suite (especially PowerPoint, Excel, and Word).
  • Ability to produce, review, and format documents and presentations with agility and precision.
Behavioral Competencies
  • Organization and method: Ability to structure processes, prioritize demands, and perform tasks efficiently.
  • Proactivity: Anticipation of management and head needs, with a focus on solutions.
  • Attention to detail: Rigorous with quality, consistency of information, and meeting deadlines.
  • Institutional communication: Clear oral and written communication, with tone and language appropriate to the institutional environment.
Differential
  • Previous experience in large events or organizations with an international interface (FIFA, Local Organizing Committees, IOC, etc.).
  • Familiarity with management and collaboration tools (SharePoint, Teams, Google Drive, WeTrack, or similar)

  • Right to work in Brazil.

  • Must be based in Rio de Janeiro or able to relocate to Rio de Janeiro independently.
