Responsibilities

As an Administrative Assistant you will be responsible for general office duties including mail room and reception responsibilities, answering and routing incoming calls, ordering supplies, and handling special projects.

  • Follow the policies and procedures determined by the company, ensuring compliance with legal requirements.
  • Actively participate in the achievement of the contractual objectives and goals stipulated by the company.
  • Generate and monitor requests for embarkation/disembarkation of personnel and material using the customer’s system.
  • Control and manage occupational health certificates (ASO) and PPE delivery records for Pressure Pumping employees.
  • Assist with radioprotection processes, waste removal monitoring, and employee scheduling for embarkation/disembarkation.
  • Logistics of booking and issuing air tickets and accommodation; control the cost of speedboats and air tickets.
  • Keep Vessel Records and Occurrences Book (LRO) updated with the Baker Hughes network.
  • Prepare the shipment calendar and send the boarding schedule to professionals and employees.
  • Provide administrative support to the operation team whenever requested.Control and update all documentation necessary for registration in SISPAT (Petrobras system).
  • Forward Occupational Health Certificates (ASO) and training documents to Petrobras to meet safety standards.
  • Know and enforce HSE policies and customer requirements; report accidents or nonstandard practices immediately.
  • Control training and safety health/environment requirements and applicable normative and contractual training.
Qualifications
  • Complete high school (preferred).
  • Graduated in administration or related areas is desirable.
  • Knowledge about SAP (preferred).
  • Be of an analytical mindset with a proven ability to resolve problems and identify solutions.
  • Be fluent in English (preferable) and Portuguese and have excellent communication skills.
