WWe are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks.

Duties of the Administrative Assistant include providing support to Legal Counsels, assisting in office needs and managing our company's general administrative activities, including all the financial activities of the department and management of systems.

The responsibilities include making travel and meeting arrangements, coordinate legal notices received by the company, preparing reports and maintaining appropriate filing systems, and coordinate and control all payments of the law firms and court fees, keep the litigation system updated.

The ideal candidate should have good oral and written communication skills and be able to organize their work using tools, like MS Excel, SAP and office equipment, showing ease and familiarity with the use of systems and technology tools.

Responsibilities
  • Perform payments of law firms and court fees, ensuring constant interface with the payment team located in India
  • Control budged and costs monthly – including the development of metrics
  • Organize and schedule appointments
  • Write and distribute email, correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports
  • Update and maintain office policies and procedures
  • Book travel arrangements
  • Keep litigation system updated
  • Coordinate all legal notices received by the company
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
Requirements
  • Proven experience as an administrative assistant
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) - experience with SAP is a plus
  • Technology-driven person – someone who embrace technology as a powerful tool for growth and innovation
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Good written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Fluent English
