Job Title : Administrative Assistant Type : Full Time / Part Time / Contract – Remote

Location : Brazil (Remote)

Role Description

This is a full-time remote role for an Administrative Assistant. The Administrative Assistant will handle daily clerical tasks, support executive team members, and maintain organized records. Responsibilities include managing correspondence, scheduling appointments, organizing documents and files, maintaining communication with key stakeholders, and providing general administrative support to ensure smooth business operations.

Key Responsibilities

Manage calendars, schedule meetings across time zones and resolve conflicts.

Act as primary contact, handle calls, manage correspondence and draft emails and documents.

Organize and update digital files and databases like Google Drive and SharePoint.

Prepare agendas, collect materials, take minutes and track action items.

Coordinate domestic and international travel and prepare itineraries.

Handle expense reports, invoices and basic accounting entries using assigned software.

Manage digital subscriptions, support remote staff needs and assist with general operations.

Required Qualifications

Strong administrative and clerical skills for scheduling, organizing documents and managing correspondence.

Excellent communication skills and professional phone etiquette.

Experience supporting executives or senior personnel is a strong advantage.

Highly organized with strong attention to detail, multitasking and prioritization.

Proficient in Google Workspace, Microsoft Office and common communication tools.

Previous experience in an administrative or support role preferred.

High school diploma required; associate or bachelor degree in business or a related field is a plus.

Ability to handle confidential information with integrity.

Reliable and resourceful with the ability to work independently.

Strong English skills; Portuguese is a bonus.
