Job description

We are looking for a highly organized, detail-oriented, and excellent interpersonal and communication skills project coordinator with a pivotal role in assisting and coordinating various projects across the organization, by ensuring successful execution and completion of projects. In addition, organizing project activities, tracking deadlines and deliverables, and facilitating effective communication among team members.

  • Preparation of costing, budgeting, offers, and handling projects until completion with high values as instructed.
  • Review and preparation of tender/bid documents with the help of the Project Manager and submit the client to prequalify for the project.
  • Keep a record of all documentation and communications related to the project separately and in a proper manner.
  • Prepare, maintain, and communicate project schedules to ensure that delivery timescales will be achieved.
  • Monitor project progress and adjust as required.
  • Assist Project Managers with the coordination of resources, equipment, meetings, and information, and organize the Projects with the goal of getting them completed on time and within the budget.
  • Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures.
  • Organizing, attending, and participating in stakeholder meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Preparing necessary presentation materials for meetings.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assess project risks and issues and provide solutions where applicable.
  • Ensure stakeholder views are managed to project the best solution.
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
  • Create a project management calendar for fulfilling each goal and objective.
  • Manage project development from initiation to closure.
  • Work with the Department Head and Project Manager to complete the project charter outlining scope, goals, deliverables, required resources, budget, and timing.
  • Self-motivated with the ability to work well both individually and in a team-oriented, collaborative environment.
  • Ability to listen and respond objectively to new ideas.
  • Ensure that all contracted project liabilities, obligations, and rights are understood and controlled.
  • Carry out other duties from time to time, as reasonably instructed by the Project Managers or by the Department head.

Qualification and experience:

  • Bachelor's degree in a relevant field such as business administration, project management, or a related discipline
  • Proven experience (2-3 years) in project coordination or a similar role.
  • Proficiency in Microsoft Office Suite. Knowledge of Sales Force Software is an advantage.
  • Technical background with the ability to understand and articulate complex technical concepts to both technical and non-technical audiences.
  • Solid knowledge of relevant technologies, products, and industry trends.
