European Institute of Peace, based in Brussels, seeks a Finance Officer to support the finance team in budget monitoring, donor reporting and financial analysis. The role involves ensuring budget integrity across multiple projects and compliance with donor requirements in an international non-profit setting.

The successful candidate will manage invoices, reconciliations, and financial records, while coordinating with programme managers and partners to meet reporting deadlines and audit needs.

Qualifications

  • Degree in finance, accounting, economics, business administration or a related field; a professional accounting qualification is an asset.
  • At least three years of relevant experience in finance, accounting, grant management or project financial management, preferably in an international non-profit organisation.
  • Practical experience in budget monitoring, financial analysis, reconciliations, accounting controls, donor reporting and audit preparation.

Responsabilités

  • Monitor assigned project budgets, analyse expenditure against approved budgets and forecasts, and identify variances, financial risks, funding gaps and corrective actions.
  • Maintain consistency between approved budgets, project budget tools, staffing allocations and transactions recorded in the accounting system.
  • Support programme teams with budget preparation, revisions, reforecasting, financial reports, payment requests and other donor submissions.
  • Monitor donor requirements and ensure compliance with approved budgets, eligibility rules, cost-allocation provisions, reporting deadlines and EIP policies.
  • Review invoices, expense claims, payment requests and partner expenditure before accounting registration, ensuring completeness, accuracy, appropriate authorisation, correct coding and compliance with donor and EIP requirements.
  • Verify project transactions recorded in the accounting system, identify errors or irregularities and coordinate timely corrections with the accountant and relevant colleagues.
  • Support the accurate recording of financial transactions, including invoices, bank and cash movements, payroll entries, staff-cost allocations, partner reports, accruals and prepayments.
  • Perform regular reconciliations of project, balance-sheet and control accounts, investigating and resolving outstanding or reconciling items.
  • Maintain and review accounting schedules, including fixed assets, accruals, prepayments and deferred balances.
  • Ensure that financial and accounting documentation is complete, properly filed and maintained in accordance with audit-trail and records-retention requirements.
  • Prepare supporting schedules and documentation for project, institutional and statutory audits, and coordinate responses to audit queries.
  • Support year-end closing, including the review and reconciliation of depreciation, payroll, accruals, prepayments and project balances.
  • Follow up with Project Managers, partners and finance colleagues on project financial needs, grant deadlines, timesheets and outstanding supporting documentation.
  • Coordinate with and provide day-to-day support to the accountant and other finance colleagues to ensure consistent processes and timely completion of tasks.
  • Support payment processing, cash management, banking and other finance operations when required, while respecting segregation-of-duties controls.
  • Contribute to improvements in financial analysis, grant monitoring, accounting procedures, spreadsheets, dashboards and other finance tools.

Based in Brussels and active in over a dozen countries, the European Institute of Peace (www.eip.org) is an independent organisation working collaboratively with the parties to the conflict, those who represent people suffering from insecurity or at risk of violence, as well as European decision-makers and the conflict prevention, resolution and mediation community.

We provide practical experience, technical expertise, and policy advice on conflict resolution. We use a variety of tools to help us do this, including analysis, mapping and design of peace processes and agreements, facilitating policy discussions, and proposing practical engagement, for example through inclusive dialogue and mediation support.

We are looking for a Finance Officer to support the Institute’s Finance team.

You will

Your skills and experience
  • Degree in finance, accounting, economics, business administration or a related field; a professional accounting qualification is an asset.
  • At least three years of relevant experience in finance, accounting, grant management or project financial management, preferably in an international non-profit organisation.
  • Practical experience in budget monitoring, financial analysis, reconciliations, accounting controls, donor reporting and audit preparation.
  • Advanced Microsoft Excel skills and experience with accounting software; knowledge of WinBooks, Power Query or Power BI is an asset.
  • Strong analytical judgement, attention to detail, organisation, integrity and ability to communicate financial information clearly to non-finance colleagues.
  • Excellent command of English; working knowledge of French is an asset.
