Keystone Solutions is seeking a skilled Adoption / Project Manager for a consultancy mission at a client site. The mission focuses on coordinating the adoption of Microsoft 365 across various departments, training and coaching users, and bridging the gap between business needs and technical requirements.
Our client has deployed Microsoft 365 and is migrating several legacy Office versions to this unified platform. Without proper coordination, risks such as chaotic collaborative spaces, document dispersion, and insufficient adoption of solutions due to a lack of understanding of their benefits have been identified. The primary risk is ensuring that teams recognize the value of these tools in their daily activities.
The mission aims to coordinate the adoption of Microsoft 365 across all departments, train and coach users—both individually and in groups—and connect business needs with technical leaders to optimize configuration choices while respecting hospital constraints such as security, patient data confidentiality, and regulatory compliance.
The scope covers all solutions within the Microsoft 365 suite available to staff, with a focus on Teams, Outlook, SharePoint, OneDrive, and Copilot. Responsibilities include designing and delivering tailored training programs for various profiles (healthcare staff, administrative personnel, management), providing close coaching, and fostering a network of internal champions in each department. Additionally, the role involves collaborating with technical leaders on key configuration decisions—organization and naming of spaces, controlled creation, internal and external sharing, sensitivity labels, data loss prevention, retention, and lifecycle management—and documenting these decisions. Project coordination includes establishing and maintaining the project plan, facilitating meetings, tracking risks and dependencies, and producing reports. A capability to design and develop automations (Power Automate) and a solid understanding of identity and access mechanisms are significant assets and will be valued during the evaluation of candidates.
Project plan; validated Microsoft 365 usage charter by the Steering Committee; organizational model of spaces by department and project; governance rules for space lifecycle; training and communication plan; adoption dashboard and follow-up reports.
Achieve uniform and sustainable adoption of tools across all departments, reduce chaotic space creation, document practices, enhance compliance, and increase productivity—serving a common and shared digital culture.
This is a full-time consultancy mission on-site in Brussels, requiring a minimum of four days per week presence, with one day of remote work possible. A complete on-site presence is preferred, as the mission heavily relies on facilitating workshops and providing close support to teams. The start date is as soon as possible. The consultant will report to the IT Department and the Steering Committee, chaired by the Strategy & Transformation Department, and will work closely with teams from both departments.
