We are seeking professional Receptionists, Executive Assistants, and General Finance roles, including AP, Payroll, etc, to represent leading construction, not-for-profit, health, communications, corporate, and premium global brands across Melbourne. Key Roles
- Receptionists
- Welcome clients, patients, and visitors with warmth, professionalism, and a polished presentation.
- Manage busy switchboards, schedule appointments, and handle general enquiries.
- Coordinate meeting rooms, visitor sign-ins, and issue security passes.
- Assist with event/meeting set-up and hospitality needs.
- C-Suite Executive Assistants
- Provide high-level administrative and organisational support to senior executives.
- Coordinate complex diaries, travel arrangements, and board/leadership meetings.
- Prepare and format documents, reports, and presentations.
- Liaise across departments, project teams, and external stakeholders.
- General Administration
- Maintain accurate records, perform data entry, and manage filing/document control systems.
- Assist with internal communications, project coordination, and office support.
- Prepare correspondence, reports, and business documents.
- Support workflow across busy teams in sectors such as construction, health, and NFP.
- Finance Support (Accounts & Payroll)
- Process invoices, expenses, and purchase orders.
- Reconcile accounts and support payroll functions.
- Assist with financial reporting and month-end tasks.
- Provide accurate data entry and compliance support.
About You
- Previous experience in reception, administration, finance, or executive support roles.
- Impeccable grooming and professional presentation.
- Strong verbal and written communication skills.
- Ability to multitask and thrive in fast-paced environments.
- Proactive, adaptable, and a strong team player.
- A car is required for some locations.
- Available to start immediately.
