Headquartered in Sydney, we operate across four key locations — Sydney, Melbourne, Singapore, and Hong Kong — supporting a diverse client base ranging from global investment banks to boutique fund managers and fintech startups.

The Opportunity

We are seeking a personable and well-organised Team Assistant to support our Sydney recruitment team and provide executive-level assistance to our Director. This is a highly varied and collaborative role with excellent exposure to the fast-paced world of financial services recruitment.

Whether you’re a skilled EA, a recruitment coordinator, or a confident administrator looking for a dynamic and flexible role, this is a unique opportunity to become part of a high-performing and engaging team.

This role is ideal for someone looking for part-time work (3–5 days per week) with flexible hours, and would suit an undergraduate or postgraduate student, or someone returning to the workforce.

Key Responsibilities
  • Calendar and travel coordination for the Director and broader team across multiple APAC markets
  • Client and candidate engagement via email, phone, and in-person meetings
  • Support across business development activity, including scheduling, client research, and CRM updates
  • Job posting and candidate sourcing across LinkedIn, Seek, and internal platforms
  • Attendance at candidate and client meetings; confident communication in professional settings
  • Assistance with marketing campaigns and email distribution to our large APAC network
  • Coordination of licensing and admin for Singapore and Hong Kong employment agency compliance
  • Light accounts support (AP/AR), assisting the CFO and finance team
  • CRM/database upkeep and regular candidate communications
  • Occasional travel coordination (e.g., for Singapore, Melbourne, and Hong Kong trips)
Ideal Candidate Profile
  • 2–5 years’ experience in a Team Assistant, EA/PA, Recruitment, or Admin role
  • Strong written and verbal communication skills, with confident phone manner
  • Highly organised, detail-focused, and proactive with a can-do attitude
  • Comfortable with multi-tasking and fast-paced team environments
  • Tertiary qualified or currently studying toward a degree (ideal for students)
  • Experience using Xero, MYOB, or LinkedIn Recruiter is a plus
  • Passion for financial services or interest in recruitment will be highly regarded
  • Well-presented and confident in professional client interactions
