Your Opportunity

As The Site Services Coordinator You Will

  • Coordinate site-based activities and services to provide a safe, effective and appropriate environment for East Coast staff, students and visitors.
  • In consultation with the Infrastructure Operations Lead develop and monitor agreed plans, schedules and SLAs for the delivery of daily operational requirements to support a safe and positive experience of staff, students and site visitors.

This position reports to the Infrastructure Operations Lead

This is a Permanent, Full-Time opportunity.

The position will be based primarily at our Nambour location, however you may be required to perform work at other TAFE Queensland campuses.

Key Responsibilities
  • Contribute to the success of transformation and cultural change through promoting and modelling the established values of Safety First, Working Together, Showing Initiative, Code of Conduct, Focussing on our Customer and Taking Responsibility.
  • Manage, guide and develop facilities staff by encouraging training and professional development opportunities whilst developing their understanding of TAFE policy and procedures.
  • The position will be actively engaged in the recruitment process, coordinating with management and HR in respect to interview and selection processes, probation milestones and performance management practices where required
  • Manage staff rosters effectively ensuring that adequate and appropriately skilled staff are employed and in attendance to deliver quality outcomes to stakeholders while minimising overtime and contractor costs. These services include services including cleaning, grounds and equipment maintenance, opening and locking of buildings, archiving, access control, and repairs and minor works.
  • Monitor sites to achieve effective and efficient safety management at the site including contractor inductions, site safety observations, implementation of corrective actions, fire detections and fire systems, SOPs, Risk Assessments and other relevant safety documentation.
  • Maintain appropriate records and management of Archibus, processing jobs, completing purchase order requests, approving of invoices, raising QBuild and direct-to-contractor requests, planning and prioritising of in-house requests, completing and closing off completed jobs.
  • Monitor the work performance of site services staff and/or external contractors. Monitor workflow to ensure any delayed or incomplete work is followed up with the engaged party. Inspect work that has been completed to ensure quality and compliance.
  • Establish and develop positive relationships through a collaborative approach with all stakeholders, Influence and negotiate improved practices and better site services operational awareness with educators, other government departments, third party lessees, administration staff, recreational user groups and traditional owners.
  • Ensure a routine inspection of sites and fleet vehicles to ensure readiness for operations
  • Coordinate and monitor activity associated with the hire of East Coast facilities to external groups in accordance with regional procedures to ensure the planned support activity is undertaken to meet the agreed expectations of both internal and external clients.
  • Support improvements in business processes and practices by liaising and consulting with other East Coast Site Services teams to maximise utilisation of resources, personnel and knowledge.
How You Will Be Assessed

The ideal applicant will be someone who has the following key capabilities:

  • Ability to support the organisation's business objectives through demonstrated knowledge of the requirements and application of reasonable adjustment in a complex work environment. Experience in supporting people with a disability in an educational environment to achieve outcomes for the business unit.
  • Ability to build and sustain positive relationships with team members and clients and actively participate in teamwork and activities including self-management and participative decision-making skills and the ability to accept, promote and manage change.
  • Ability to commit energy and drive to see that goals are achieved in a timely manner utilising a sound level of computing skills, including use of general software packages.
  • Demonstrated high level of communication, interpersonal and negotiation skills, including written communication skills, tact, discretion and confidentiality, to develop strong working relationships and networks with internal and external clients.
  • Displays the initiative, attitude and ability to thrive within a dynamic, challenging and changing environment.

  • C Class manual licence

  • Forklift Certificate licence
  • Experience with fire systems
  • Operational awareness of Health and Safety practices.
  • Experience with Fire Warden activities
  • Background in working in trade environments
