Job summary

Virtual Staff 365 seeks a Shared Services Officer to deliver finance, operational, payroll, and compliance administration across national workflows in Australia. The role supports operational teams, maintains records, and drives service excellence across sites.

Responsibilities include processing invoices, GL coding, payroll support, data entry in CargoWise, and compliance administration under SLA timelines. This is a remote, full-time position with work-from-home setup.

Qualifications

• Experience in administration, shared services, or transactional financial support.
• Proficient with Microsoft Office, especially Excel.
• High attention to detail with accurate data entry and checks.
• Excellent written and verbal communication in Australian English.
• Strong organisational and time management skills to meet deadlines.
• Ability to follow work instructions, procedures, and structured workflows.

Responsibilities

• Process supplier invoices and GL coding per instructions.
• Assist with accounts receivable, recurring billing, and credit requests.
• Verify invoices against documents and escalate discrepancies.
• Prepare monthly operational and financial reporting packages.
• Maintain customer and supplier records and monitor shared finance inboxes.
• Raise PO and escalate missing approvals or non-standard transactions.
