Job description

We’re looking for an experienced Proposals Coordinator with strong end-to-end proposal experience to join our Community Development team. You’ll coordinate high-quality proposals, capability statements, presentations and other business development materials, helping our teams respond to opportunities in a timely, consistent and compelling way.

Your work will span three core areas: proposal development, opportunity response coordination, and knowledge and process management. You’ll collaborate with project teams, business development leads, technical specialists and support functions across Stantec.

This role can be based in any of the following Stantec office locations: Brisbane, Gold Coast, Canberra or Wollongong.

Day to day tasks would involve:

Proposal and material development

Coordinate the preparation of written and graphical content for proposals, qualifications, capability statements, brochures, presentations and related materials.

Proofread and edit documents for accuracy, consistency, quality and alignment with Stantec templates and branding guidelines.

Work with operational teams, graphic designers and external print suppliers, as required, to deliver polished submission materials.

Provide bid writing, creative writing, graphics and desktop publishing support, where required.

Opportunity response coordination

Support the development and implementation of opportunity response plans, including activities, deliverables, owners, milestones and deadlines.

Coordinate the proposal process by establishing response requirements, assigning tasks, managing timelines and organising response-related meetings.

Set up and maintain opportunity information in Pipeline and assist project teams to establish each response.

Gather information from internal and external stakeholders and undertake research to support complete, responsive submissions.

Monitor and manage relevant tender portals and industry panels, distribute opportunities, and maintain current insurance and prequalification information.

Coordinate pursuit-phase quality, health and safety and legal review requirements, including contract review workflows.

Assist with requests for quotation and subconsultant coordination at pursuit stage, including collection of relevant insurance and prequalification information.

Knowledge and process management

Create, update and maintain reusable proposal content, project profiles, personnel profiles, images and collateral in SMKC.

Regularly update Pipeline and maintain accurate opportunity information.

Maintain strong internal networks to identify and share relevant information, lessons learned and best practice across sectors and Business Centres.

Use specialist systems and processes where required and contribute to continuous improvement of proposal tools and workflows.

To be successful for this role you’ll need:

Relevant tertiary education, or an equivalent combination of education and related experience.

Experience coordinating proposals, bids or business development materials, ideally within engineering consulting, construction, design or a related professional services environment.

Strong organisational skills, with the ability to manage competing priorities, deadlines and your own workflow.

Excellent written communication, proofreading and attention to detail.

Strong Microsoft Office skills, including Word, PowerPoint and Excel; experience with document production and content management systems will be highly regarded.

A quality-focused, accountable and proactive approach, with the confidence to engage with stakeholders at all levels.

A collaborative, positive attitude and a genuine interest in contributing to team culture and continuous improvement.
