Job summary

Jobgether in Victoria, Australia, invites an organised project coordinator to join a growing property portfolio spanning new builds, refurbishments, fit-outs, and site improvements. You will support project managers and senior stakeholders to keep programs on track and compliant.

You will assist governance, schedules, budgets, procurement, and reporting, building strong relationships with contractors and internal teams, while developing your project management capabilities.

Qualifications

  • Demonstrated experience coordinating property, construction, facilities management, or related projects.
  • Experience supporting small property initiatives including fit-outs or refurbishments.
  • Strong organisational skills with ability to manage multiple deadlines in a fast paced environment.
  • Proven ability to build positive relationships with stakeholders across levels.
  • Experience using project management systems and producing governance materials.

Responsibilities

  • Provide day-to-day project coordination and support to Property Project Managers.
  • Coordinate governance processes, risk registers, and reporting frameworks.
  • Prepare scopes, briefs, artefacts, and supporting materials for property projects.
  • Monitor schedules, budgets, dependencies, and identify risks with corrective actions.
  • Assist with procurement, budget management, and project controls.

This is an opportunity to support a growing portfolio of property projects across Victoria, spanning new builds, refurbishments, fit-outs, and site improvements.
You will work alongside experienced project managers, consultants, contractors, and senior stakeholders to keep projects moving efficiently.
The role combines project coordination, governance, documentation, financial administration, procurement, and stakeholder engagement.
You will help establish strong project controls while monitoring schedules, milestones, budgets, risks, and deliverables.
Your work will directly contribute to projects that improve workplaces, facilities, and the environments supporting essential community services.
The position offers exposure to diverse property initiatives and an opportunity to strengthen your project management capabilities.

Accountabilities
  • Provide day-to-day project coordination and specialist support to Property Project Managers, including scheduling meetings, preparing agendas, minutes, reports, presentations, briefings, correspondence, and other project documentation.
  • Coordinate and maintain project governance processes, including risk and issue registers, project records, reporting frameworks, and compliance documentation.
  • Prepare project scopes, briefs, artefacts, and supporting materials while contributing to the delivery of property projects with limited supervision.
  • Monitor project schedules, milestones, deliverables, budgets, and dependencies, identifying emerging risks and recommending corrective actions.
  • Support financial administration by raising purchase orders, processing invoices, tracking project expenditure, and preparing financial reports.
  • Assist with procurement, resource planning, budget management, and other project controls in accordance with established frameworks and guidelines.
  • Support the delivery of fit-outs, refurbishments, site improvements, and other property-related works across Victoria.
  • Build and maintain effective relationships with internal and external stakeholders, including senior leaders, consultants, contractors, delivery partners, and project teams.
  • Support project governance, safety, regulatory, and organisational compliance requirements throughout the project lifecycle.
  • Use project management systems and project data to provide meaningful insights, support decision-making, and help maintain delivery momentum.
Requirements
  • Demonstrated experience in project coordination, project support, or project administration, ideally within property, construction, facilities management, commercial, retail, or a related environment.
  • Experience supporting small property projects, including fit-outs, refurbishments, facilities improvements, or capital works.
  • Strong organisational and prioritisation skills, with the ability to coordinate multiple activities and deadlines in a fast-paced environment.
  • Proven ability to build positive and productive relationships with stakeholders across different levels and functions.
  • Experience using project management systems and interpreting project information to identify trends, risks, issues, and opportunities for improvement.
  • Strong capability in preparing project documentation, including status reports, meeting minutes, presentations, project briefs, correspondence, and governance materials.
  • Excellent written and verbal communication skills, with the confidence to communicate clearly with project teams, senior stakeholders, contractors, and external partners.
  • Sound financial administration skills, including purchase orders, invoice processing, expenditure tracking, and project budget support.
  • Exceptional attention to detail and a commitment to maintaining accurate, complete, and well‑organised project records.
  • A proactive, adaptable, and solutions‑focused approach, with the initiative to identify issues and contribute to practical solutions.
  • A genuine interest in developing a career in property project delivery and the ability to learn quickly in a changing environment.
  • A Diploma in Project Management or a related discipline is desirable.
  • Experience across property projects, facilities management, construction, fit‑outs, refurbishments, or capital works programs is advantageous.
  • Applicants must have the legal right to work in Australia and be able to provide appropriate documentation. For this position, you must be predominantly located in Australia.
