Job summary

Jones Lang LaSalle in Perth is seeking a Property and Facilities Assistant to support the Operations Manager. The role covers budgeting, reporting, tenant relations, and coordinating maintenance within a government-owned portfolio.

You will develop broad facilities management skills while working in a collaborative team environment that values wellbeing and inclusivity. This is an on-site position in WA.

Qualifications

  • Demonstrated experience in property management or facilities coordination.
  • Strong financial literacy with the ability to prepare budgets and manage accounts receivable.
  • Proficiency with property management systems (PAMS) and MS Office, especially Excel.

Responsibilities

  • Prepare budgets, outgoings recoveries, forecasts and performance graphs.
  • Produce monthly portfolio and operations reports.
  • Issue purchase orders and contracts within PAMS and ensure procurement compliance.
  • Monitor rental arrears and pursue outstanding payments.
  • Assist with rent reviews including CPI adjustments.
  • Code creditor tax invoices and respond to tenant queries.
  • Prepare tenant invoices and reconciliations across the portfolio.
  • Coordinate contractor inductions, site access, and maintenance tasks.
  • Minute monthly tenant meetings and maintain professional records.

What this opportunity involves:

The Property and Facilities Assistant plays a vital support role in delivering high-quality property and facilities management services across a government-owned portfolio. Working closely with the Operations Manager, you'll help ensure smooth day-to-day operations by managing financial processes, coordinating maintenance activities, and maintaining strong relationships with tenants, contractors, and stakeholders. This position offers the opportunity to develop broad facilities management skills while contributing to a collaborative team environment. Key Responsibilities include:
  • Support the Operations Manager in preparing budgets, outgoings recoveries, forecasts, and performance graphs to ensure accurate financial tracking and reporting
  • Prepare comprehensive monthly reports that provide insights into portfolio performance and operational metrics
  • Issue purchase orders and establish contracts within PAMS, maintaining accurate records and ensuring compliance with procurement processes
  • Monitor rental arrears and proactively pursue outstanding payments, maintaining positive tenant relationships while protecting cash flow
  • Assist with the rent review process, including both fixed increases and CPI adjustments, ensuring timely execution and accurate documentation
  • Code creditor tax invoices accurately and respond to tenant account queries with professionalism and efficiency
  • Produce tenant tax invoices and reconciliations across the portfolio, ensuring accuracy and timely delivery
  • Coordinate contractor inductions, site access, and maintenance tasks through the Evolution system, ensuring prompt response and resolution
  • Coordinate, set agendas for, and minute monthly tenant meetings, maintaining professional documentation and follow-up
Sounds like you? This is what we're looking for:
  • Demonstrated experience in property management, facilities coordination, or a similar administrative support role
  • Strong financial literacy with the ability to prepare budgets, process invoices, and manage accounts receivable processes
  • Proficiency with property management systems (PAMS experience highly regarded) and Microsoft Office Suite, particularly Excel
  • Excellent organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail
  • Strong written and verbal communication skills for professional interaction with tenants, contractors, and stakeholders
  • Understanding of property operations including maintenance coordination, lease administration, and tenant relations
  • Ability to work both independently and collaboratively as part of a team environment where we support each other's wellbeing and champion inclusivity
  • Experience working with government-owned properties or public sector clients (preferred)
  • Familiarity with Evolution or similar work order management systems (preferred)
