Job summary

Vivi.io is seeking a Project Manager to own the delivery of a portfolio spanning product, engineering, sales, marketing, and customer success. You will lead projects from inception to release and through post-launch, ensuring momentum and clear success metrics, reporting to the CFO within the Finance and Operations team.

This role requires a practical understanding of software development, agile ways of working, and the ability to coordinate multiple functions to bring a product to market.

Qualifications

• Solid project management experience (≈5+ years) delivering cross-functional projects end to end.

• Background in technology or software with a good understanding of agile delivery.

TheRole

As Project Manager, you will own the delivery of a portfolio of projects that spans the entire business – from product and engineering through sales, marketing, customer success, finance, and support. This is a truly cross-functional role: you will take projects from inception to release and through the post launch period, bringing structure, momentum, and visibility to initiatives that no single department owns. Reporting to the CFO within the Finance and Operations team, you will plan, estimate, coordinate, and communicate relentlessly – and when things stall, you will hustle to get results. While this is not a technical project management role, Vivi is a technology business, so you will bring a working understanding of software, agile ways of working, and how product and engineering teams deliver. And while the role is not exclusively about AI, Vivi is undergoing an AI transformation – both in how the business operates and in its products, through its Vivi Classroom Intelligence initiatives – and many of the projects in your portfolio will be part of that change. Your immediate priority, and the first mission of this role, is to project-manage the delivery of Vivi’s new product launch from end to end – building and driving the plan that brings it to market, working to the Product Manager who owns the overall launch. Responsibilities:

Portfolio&ProjectDelivery:

• Manageaportfolioofconcurrentprojectsacrossthebusiness,frominceptionthroughtogo-liveandthroughpost-launchstabilisation,ensuringeachhasclearobjectives,scope,owners,andsuccessmeasures.
• Developandmaintainprojectplans,schedules,budgets,andresourceestimates,trackingprogressandkeepingdeliveryoncourse.
• Applytherightlevelofgovernancetoeachinitiative–kick-offs,statusreporting,steeringupdates,andpost-projectreviews–bringingstructurewithoutdrowningteamsinprocess.
• Managedependenciesbetweendepartments,understandingthecriticalpathandsequencingworksothewholeportfoliokeepsmoving.
• For product releases, build and drive the end-to-end launch plan – spanning delivery, go-to-market readiness and the post-launch period coordinating every function required (sales, marketing, product, engineering, IT, operations, customer success, support, finance, legal and security) to reach go-live and beyond. The Product Manager owns the overall product launch; this role owns the plan and its execution.
• Forproductreleases,coordinatetherequireddata-privacyandsecuritysign-offs–includingstudent-dataobligationsandST4S–sotheyareobtainedbeforego-live.
• Coordinatethepost-implementationreview(PIR)processacrossallmajorprojectsandproductlaunches–capturingoutcomes,benefitsrealisedandlessonslearned,andfeedingthembacktoimprovehowVividelivers.

Planning&Estimation:

• Facilitateplanningandestimationwithprojectteams,turningambiguousgoalsintoachievable,resourcedplans.
• Buildrealisticestimateswiththepeopledoingthework,trackactualsagainstthem,andimproveforecastaccuracyovertime.
• Identify,assess,andactivelymanagerisks,issues,andassumptions–escalatingearly,withoptionsratherthanjustproblems.

StakeholderManagement&Communication:

Experience:

• Solidprojectmanagementexperience(approximately5+years)withaprovenrecordofdeliveringcross-functionalprojectsendtoend(essential).
• Demonstrated experience delivering cross-business product launches or go-to-market programmes end to end – knowing how to coordinate across sales, marketing, product, engineering, IT, operations, finance and legal to bring a product to market – not just running internal IT or technical projects (essential).
• Experience building or establishing a project management function, process or framework is highly valued we do not have a set process today, so a builder who can bring structure while managing and coordinating stakeholders well will add real value.
• Experienceworkinginatechnologyorsoftwarebusiness,withagoodunderstandingofagilewaysofworkingandhowproductandengineeringteamsdeliver(essential).
• Abasic,practicalunderstandingoftechnology–enoughtoholdyourownindeliveryconversations;thisisnotatechnicalprojectmanagementrole.
• Strongplanning,scheduling,andestimationskillsacrossprojectsofvaryingsizeandcomplexity.
• Excellent written, verbal, and presentation skills, with the ability to communicate at all levels from engineers to executives.
• Experience producing accurate, executive quality reporting to a regular cadence, and presenting it to executive and leadership audiences (essential).
• Highlyorganised,withexperiencemanagingmultipleconcurrentprojectsandcompetingpriorities.
• ProficiencywithprojectandcollaborationtoolssuchasJiraandConfluence,orsimilar.
