Our client, Creative 16 Pty Ltd operates the Zip Solar brand and provides end-to-end solar and battery storage solutions across Australia — including design, equipment procurement, installation coordination, grid connection and regulatory compliance.

Due to growing customer demand, the business is expanding its project portfolio and needs a skilled Project Administrator to support multiple concurrent residential and commercial projects from the Eastern Creek office.

The Project Administrator will support project teams to ensure projects are delivered on time, within quality standards and in compliance with industry and electrical regulations.

This role is essential to maintaining accurate project documentation, coordinating resources, facilitating stakeholder communication, and keeping installation schedules on track as project volumes increase.

Your ability to anticipate potential issues and proactively address them will be essential in maintaining project timelines and ensuring client satisfaction.

Minimum Requirements

  • Proven experience supporting project teams with scheduling, documentation management and stakeholder communication.
What you will be responsible for
  • Coordinate administrative aspects of solar and battery installation projects to support timely delivery.
  • Maintain and control comprehensive project records (technical documentation, permits, approvals, compliance files).
  • Assist in the development, implementation and monitoring of project schedules and milestones.
  • Prepare routine project status reports and documentation for management review.
  • Liaise with project managers, engineers, installation teams, accredited electricians, suppliers, network providers and clients to facilitate smooth project delivery.
  • Coordinate materials procurement schedules, contractor availability and equipment deliveries.
  • Monitor project progress and identify scheduling conflicts or risks; escalation issues for timely resolution.
  • Assist with quality assurance checks and ensure project activities meet regulatory, safety and electrical compliance requirements.
  • Ensure project records in internal systems are accurate and current.
  • Assist with project close-out, completion reporting and handover documentation.
  • Track and help report project expenditures and variations; support budget monitoring.
  • Prepare and process project-related paperwork, including permits, compliance submissions and close-out documentation.
  • Contribute to continuous improvement initiatives across the project management team.
Skills, experience and attributes
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency with project administration tools and scheduling systems is desirable.
  • Ability to work independently and as part of a team.
  • High attention to detail and problem-solving skills.
  • Knowledge of the solar industry, grid connection processes or rebate/compliance documentation is advantageous but not essential.
