Qualifications

• Qualification in Hospitality, Events, Tourism or Business, or equivalent industry experience.
• Experience in an events, sales coordination or reservations role within hospitality, weddings or tourism.
• Demonstrated success converting enquiries into confirmed bookings.
• Experience preparing proposals, quotes and function sheets.
• Working knowledge of CRM, booking or event management systems.
• Highly organised with strong planning and time management skills.
• Excellent customer service skills with a warm, professional manner.
• Strong sales skills with confidence to convert enquiries and upsell.
• Exceptional attention to detail and accuracy.

Responsibilities

• Act as the first point of contact for all incoming customer enquiries across the group.
• Respond to every new enquiry promptly and professionally within the service standard.
• Qualify each enquiry and pass opportunities to the Sales Executive with notes.
• Follow up all open enquiries and proposals until confirmed or closed.
• Record all enquiries, contacts and follow-ups in the CRM and booking systems.
• Prepare tailored proposals, quotes and packages for weddings, functions and group stays.
• Conduct site inspections and venue tours, presenting venues with confidence.
• Upsell accommodation, wine, beverage packages and add-ons to increase booking value.
• Coordinate menus, beverage packages, room setups, timings and supplier requirements.

The Group Planning & Sales Coordinator is the first point of contact for all customer enquiries across Mitchelton, The Waterfront Motel and Nagambie Brewery. A highly organised professional with strong customer service and sales skills, the coordinator ensures every enquiry receives a prompt, professional response, qualifies each opportunity, and passes serious corporate, leisure and wedding enquiries to the Corporate, Leisure and Wedding Sales Executive. The coordinator maintains regular client communication, identifies upsell opportunities, supports VIP clients on site and builds repeat business with past corporate clients.

Key responsibilities

• Act as the first point of contact for all incoming customer enquiries — phone, email, website and walk-in — across the group
• Respond to every new enquiry promptly and professionally within the agreed service standard
• Qualify each enquiry and pass serious corporate, leisure and wedding opportunities to the Corporate, Leisure and Wedding Sales Executive promptly, with complete notes and client details
• Follow up all open enquiries and proposals consistently until each one is confirmed or closed

Keep every enquiry, contact and follow-up recorded accurately in the CRM and booking systems

Prepare tailored proposals, quotes and packages for weddings, functions, conferences and group stays

Conduct site inspections and venue tours, presenting each venue with confidence

Upsell accommodation, wine, beverage packages and add-ons to increase the value of each booking

Act as the client's main point of contact from confirmation through to final details

Coordinate menus, beverage packages, room set-ups, timings and supplier requirements with clients

About you

• Qualification in Hospitality, Events, Tourism or Business, or equivalent industry experience
• Experience in an events, sales coordination or reservation's role within hospitality, weddings or tourism
