Bupa is seeking an experienced Personal Assistant to provide high-level administrative support to Directors within the Health Insurance business in Sydney. The role combines traditional PA duties with culture-building, events, and communications, leveraging digital content creation and video editing to keep teams connected and informed.

Qualifications

The Purpose of this job

We are looking for an experienced Personal Assistant to provide a high level of professional administrative support to Director(s) and/or General Manager(s) within the Health Insurance business and their respective teams ensuring an efficient, organised working environment.

This is much more than a traditional Personal Assistant role. We're seeking someone who can be a culture champion, bringing a positive attitude, infectious energy and a genuine passion for creating great team experiences. You'll help bring people together through events, communications and engagement activities, keeping the team connected, motivated and informed. Experience creating digital content and using video editing tools will help you succeed in this space. We're also looking for someone who embraces innovation, is naturally curious about AI and enjoys finding new ways to work smarter, creating more capacity for meaningful, value-adding work. Your ability to combine organisation, creativity and a people-first mindset will make a real difference to the team.

What You'll Be Responsible For

  • Extensive inbox and calendar management including coordinating meetings, preparing background information, pre-read material, agendas and recording of action items.
  • Act as a point of contact for internal and external parties where appropriate, including prioritising and distributing emails, correspondence and mail.
  • Prepare internal communications, presentations, written reports, spreadsheets, documents, quality assess reports and prepare ad- hoc reports as required.
  • Provide timely and accurate preparation of tactical administrative support activities for the Director and their team, including:
    • Expense management - reconcile corporate cards and expense reimbursements on a monthly basis.
    • Travel management - book travel in line with the Bupa travel policy.
    • Invoice management - raising purchase orders, payment requests, ensuring timely approval and recording of accounts and information.
    • Event management - supporting team events including catering, venue bookings and logistics.
    • Recruitment management - onboarding/offboarding of all new starters within the Technology team.
  • When capacity permits and agreed by the Director, provide a shared service arrangement of personal assistance to other Technology Leaders and Teams ensuring efficient ways of working and engaging, establishing an operating rhythm that meets Management and establish a brand presence with internal and external stakeholders.

What you’ll need to make itpossible

  • 3+ years providing personal assistant support at a senior manager
  • Proven ability to meet strict deadlines in an organised manner
  • Proven problem identification and resolution skills
  • Professional presence, presentation and interpersonal skills, including the ability to build rapport and trust and work with, and across team environments
  • Experience in utilising judgment, confidentiality and discretion at a senior support level
  • Strong stakeholder management, with the ability to engage with Executives and Business Leaders, and all people throughout the organisation to achieve shared outcomes
  • Ability to use initiative and drive when managing multiple business support priorities
  • Demonstrable attention to detail and follow-up to ensure accuracy and timeliness of work
  • Ability to ‘think on your feet’, work independently and with clarity of delivery
  • Technically savvy with the Microsoft Office Suite - Outlook (Advanced), and Word, Excel, PowerPoint (Intermediate)
  • Experience with troubleshooting general technology issues and navigating systems (Windows & Apple)
