Job summary

BDO Australia is seeking a highly organised Personal Assistant to support Audit & Assurance Partners in our Sydney office. This role focuses on executive calendar management, billing administration, travel arrangements and compliance tasks to ensure smooth operations.

Ideal candidates have 3+ years in a PA/Team Assistant position, strong MS Office skills, experience with CRM/workflow systems, and a proven ability to manage multiple priorities with discretion and professionalism.

Qualifications

  • Minimum 3 years' experience as a Personal Assistant or Team Assistant.
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint and Teams.
  • Experience with CRM, practice management and workflow systems (e.g. MS Dynamics 365 and Workday PSA).
  • Strong organisational and time management skills with the ability to manage multiple priorities.

Responsibilities

  • Proactively manage Partner calendars, appointments, and meetings with prioritised scheduling.
  • Provide financial administration support for WIP, debtors, AP queries and client billing.
  • Deliver general administrative support including documents, expenses, timesheets, printing, scanning, filing.
  • Handle compliance tasks under Risk Management policies, including onboarding and conflict checks.
  • Collaborate with Clients & Markets on tenders, presentations, events, CRM reports.
  • Book domestic and international travel for Partners and team.
  • Support Audit team and work cohesively with Shared Services and other areas.

About the Role

Be part of the biggest service line in BDO Australia! Our Audit and Assurance team is looking for a motivated and highly organised Personal Assistant to join our dynamic and collaborative Sydney team. The Personal Assistant will provide administrative and operational support to our Audit & Assurance Partners and their teams.

Key Responsibilities
  • Proactively manage Partner calendars, appointments, meetings and commitments, ensuring priorities are managed effectively and scheduling conflicts are resolved.
  • Provide financial administration support to assist with the management of work in progress (WIP), debtors, accounts payable queries and client billing processes.
  • Provide general administrative support including document production, expenses, timesheets, printing, scanning, filing, desk bookings and other operational requirements.
  • Manage the team’s compliance requirements in-line with the Firm’s Risk Management Policies including client onboarding, conflict checks, ASIC searches and client/engagement acceptance procedures.
  • Collaborate with the Clients & Markets team by preparing tenders for new client work, client presentations, client and/or networking events, maintenance of the CRM database and managing and actioning related reports.
  • Book domestic and international travel for Partners and the team.
  • Work closely with the Audit team to provide support and coverage where needed and work collectively as a team to ensure the efficient and effective operation of the service line.
  • Work cohesively with all areas of the firm, including members of the Shared Services teams.
About You
  • Minimum 3 years' experience as a Personal Assistant or Team Assistant, preferably within a professional services environment.
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint and Teams.
  • Experience working with CRM, practice management and workflow systems (such as MS Dynamics 365 and Workday PSA or similar) is highly regarded.
  • Strong organisational and time management skills, with the ability to manage multiple priorities and competing deadlines.
  • Well-developed written and verbal communication skills with a professional and confident approach.
  • High attention to detail and commitment to quality and accuracy.
  • Demonstrated ability to build and maintain effective relationships with senior stakeholders, clients and colleagues.
  • High degree of discretion and professionalism when handling confidential and sensitive information.
  • Adaptable, resilient and able to thrive in a fast-paced professional services environment.
