Job summary

Auto & General Insurance is seeking a Personal Assistant to support the General Manager of Integrated Performance Marketing and the General Manager Analytics. This role delivers high-level secretarial and administrative support, managing communications and coordinating with key internal teams to ensure efficient operations.

You will handle calendar duties, travel arrangements, meetings, and reporting tasks while maintaining strong engagement with stakeholders across the organisation.

Qualifications

• 3-5 years' experience in a similar PA/EA or admin role.
• Experience working with internal stakeholders to solve problems.
• Ability to communicate effectively with a wide range of stakeholders.
• Understanding of G Suite and Microsoft Suite (Desirable).
• Fantastic interpersonal skills.

Responsibilities

• Take ownership of calendar and inbox management and delivery of effective time management.
• Team administrative tasks such as queries, reporting reminders, contracts, meeting minutes, agendas and organisational charts.
• Coordinate with People and Culture and IT on staff movements and changes.
• Assist in Team Engagement results and outcomes.
• Arrange domestic and international travel and accommodation.
• Maintain and update weekly Performance Wednesday slide deck.

The role

The Personal Assistant to the General Manager of Integrated Performance Marketing and General Manager Analytics is an important part of the Marketing, Media and Acquisitions team focused on providing high-level secretarial and administrative support.

You will be integral in supporting and providing the delivery of highly organised professional support, communication and team engagement.

You will work on a one-to-one basis on a variety of tasks related to the General Manager’s specific work duties and desired outcomes at any given time. You will act as a point of contact between the wider business and team and deliver support constantly, efficiently and effectively.

Position Accountabilities

• Take ownership of calendar and inbox management and delivery of effective time management
• Team administrative tasks such as individual queries, reporting date reminders, contracts, meeting minutes, agendas and maintaining organisational charts
• Communicate, work with and produce forms for the People and Culture Department and the IT Department – maintain and update staff movements and changes
• Actively participate and assist in the Team Engagement results and outcomes
• Booking of domestic and international travel and accommodation
• Update and maintain the Performance Wednesday Slide Deck, ensuring weekly updates and distribution
• SAP Concur Expenses
• Process Finance One Invoices
• Conduct Cab Charge Reconciliations
• Liaise with internal and external stakeholders
• Arrange monthly North Lakes visits
• Manage ESS Leave Approvals for all of GM's direct reports
• Onboarding of New Starters & Exits
• Send Mandatory Training email reminders
• Organise Team events, including small and large social events and staff meetings
• Coordinate Team Workshops invitations and catering
