The Role

This is a key opportunity for an experienced administrator to step into a pivotal role at the heart of the organisation’s operations.

As Office Coordinator, you’ll oversee the smooth day-to-day running of the office while also providing EA support to the CEO. From managing calendars and coordinating meetings to ensuring the little details of office life are handled with care, you’ll be the go-to person who keeps everything on track.

This is not a reception role - you’ll have your own workspace and the autonomy to manage your responsibilities professionally.

Key Responsibilities

Office Operations & Facilities

  • Coordinate staff trainings, meetings, and catering requirements
  • Oversee external service providers (cleaners, suppliers) to ensure standards are met
  • Manage servicing and maintenance schedules for company vehicles
  • Maintain supplies and stationery; keep the office running smoothly
  • Manage the CEO’s calendar and appointments
  • Screen phone calls, acting as a professional first point of contact.

Minute-Taking & Documentation

  • Accurately record and distribute minutes for managers’ meetings and subcommittee meetings
  • Circulate agendas, minutes, and action lists; follow up on completion

Administration

  • Coordinate bookings, schedules, and logistics across the office
  • Ensure administrative tasks are completed accurately and on time
  • Support managers with ad-hoc administrative needs

About You

  • An experienced Office Manager, Coordinator, or Executive Assistant with demonstrated stability in past roles
  • Strong skills in minute-taking, written communication, and documentation
  • Organised, detail-oriented, and reliable - you don’t leave things half-done
  • Professional, discreet, and confident in managing competing priorities
  • Motivated by clarity, stability, and being the trusted go-to person who keeps operations running smoothly
