BTIG seeks a motivated and organized Office and People Operations Administrator to support APAC with office administration, events, and personnel processes. The role spans multiple hats across Australia, Hong Kong, and Singapore, contributing to a positive employee experience by streamlining processes and handling inquiries.

You will work with senior leaders, own onboarding/offboarding, maintain the HRIS, and assist with travel, vendor relations, and internal communications.

Qualifications

  • 4-8 years of experience in office administration or HR administration
  • Experience supporting APAC regional operations is highly regarded
  • Experience with onboarding/offboarding and HRIS is advantageous

Responsibilities

Job description

BTIG seeks a motivated and organized Office and People Operations Administrator. This role will be divided between office administration, events management, and operational people oversight for the APAC region. In APAC, we are a small team of 60+ employees based across Australia, Hong Kong, and Singapore. You will contribute to a positive employee experience by streamlining processes and responding to enquiries. Basic HR knowledge is a benefit as you will have the opportunity to work on employee lifecycle projects.

This individual must have a positive attitude, the willingness to wear multiple hats, and be energized by working in an ever-changing, fast-paced environment. The successful candidate will display a proactive approach, working collaboratively with key stakeholders across business leadership.

Role and Key Responsibilities:
  • Facilities & building management liaison: Coordinating with landlords/building management across APAC offices on maintenance, and lease-related matters.
  • Business continuity support: Maintaining office emergency procedures, contact lists, and assisting with BCP planning.
  • Health, Safety & Wellbeing (WHS): Acting as the WHS Officer in compliance with local workplace health and safety obligations within Australia.
  • Employment cycle: Responsible for onboarding, new hire orientation, and data entry into the HRIS.
  • HRIS Management: Maintaining the Human Resources Information System to ensure data accuracy and efficient record-keeping. Ensuring the accuracy and integrity of organizational data by performing regular data audits and cleanup.
  • Travel and expense oversight: Partnering with senior leaderson travel, meeting scheduling, and expenses.
  • Office administration: Ordering supplies and working with vendors.
  • Communications: Internal communications support, scheduling training, and organizing events and engagement activities.
Requirements:
  • 4-8 years of experience in office administration, HR administration, or executive assistant role, ideally within financial services or a similarly regulated, professional services environment.
  • Prior experience supporting multi-office or regional operations across APAC is highly regarded.
  • Experience working with or supporting senior leaders in a fast-paced environment.
  • Exposure to onboarding and offboarding processes, employment lifecycle administration, and experience with HRIS platforms is advantageous.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Strong oral and written communication skills.
  • Excellent interpersonal skills, attention to detail, and organization skills.
  • Initiative to follow through on tasks and problem solve.
  • Ability to work independently and identify opportunities to value-add.
Qualifications:
  • Bachelor’s degree in business administration, Human Resources, or a related field preferred.
  • Relevant certifications (e.g., Certificate IV in Human Resources, Business Administration, or WHS) are advantageous but not mandatory if offset by experience.
