Queensland Parliament is seeking an experienced Lease Administrator to support the management of a large commercial property portfolio across Queensland. The role encompasses end-to-end lease administration, critical date tracking, financial obligations, compliance reporting and broad stakeholder liaison.

  • Manage end-to-end lease administration activities: new leases, renewals, variations, rent reviews, reconciliations and terminations.
  • Monitor critical dates and obligations across the portfolio, escalating as needed.
  • Serve as primary admin contact for landlords on lease and invoicing matters.
  • Prepare documentation and reports to support audits and compliance activities.
  • Provide analysis and recommendations on lease issues and portfolio risks.
  • Collaborate with tenants, legal, finance and property services to meet governance requirements.
  • Occasional travel to Electorate Office locations across Queensland.

Job description

The Queensland Parliamentary Service is seeking an experienced Lease Administrator to support the management of a large commercial property portfolio across Queensland. This role is responsible for end-to-end lease administration, including lease transactions, critical date management, financial obligations, compliance reporting and stakeholder liaison. It is ideally suited to candidates with demonstrated experience administering commercial, corporate or government lease portfolios, a strong ability to interpret commercial lease agreements, and experience using enterprise lease management systems to manage lease data and reporting.

Key responsibilities
  • Manage end-to-end lease administration activities, including new leases, renewals, variations, rent reviews, reconciliations and terminations.
  • Independently monitor, track and action critical dates and key lease obligations across the portfolio, escalating matters to the Lease Manager where commercial, legal or enforcement action is required.
  • Act as the primary administrative contact for landlords on lease and invoicing matters, including disputed charges and compliance queries.
  • Prepare documentation, schedules and reports to support internal audits, external reviews and compliance activities.
  • Provide timely advice, analysis and recommendations on lease administration issues and portfolio risks.
  • Collaborate with internal and external stakeholders, including tenants, legal, finance and property services, to ensure maintenance, capital works, governance, probity & audit requirements are met and to support continuous improvement in lease administration processes and systems.
  • Undertake occasional travel to Electorate Office locations across Queensland as required.
What we are looking for
  • Demonstrated knowledge of commercial leasing principles, with the ability to read, understand and interpret commercial lease agreements and associated lease documentation.
  • Experience administering a commercial property or lease portfolio, preferably within corporate, government, institutional or large-scale property environments.
  • Strong understanding of commercial lease terms, including options, rent reviews, outgoings, incentives and other financial obligations.
  • Experience using lease management or property management software applications to administer commercial lease portfolios, maintain lease data, manage critical dates and produce portfolio reporting.
  • Experience using NomosOne would be highly regarded but is not essential.
  • Proven ability to exercise sound judgement, triage issues and resolve problems independently.
  • Well-developed written and verbal communication skills, with the ability to liaise effectively with a diverse range of stakeholders, including landlords, tenants and corporate services.
  • Strong organisational and time management skills, with the ability to manage competing priorities and meet tight deadlines with minimal supervision.
  • Previous experience working on the lessee side of commercial leasing arrangements would be well regarded.
