Job summary

Novotel Melbourne South Wharf, part of the Accor group, is seeking a highly organised Group Reservations Supervisor to lead our busy Group Reservations team. Based at Melbourne South Wharf, you will manage 10+ room group bookings, drive client relationships, and collaborate with Sales, Revenue and Front Office to deliver exceptional group experiences.

You will coach and develop team members, forecast trends, and ensure accurate quotations, contracts and rooming lists.

Qualifications

• Previous Reservations Supervisor experience in a hotel environment.
• Strong knowledge of group reservations and hotel operations.
• Experience with Opera PMS and Microsoft Office preferred.
• Excellent organisational skills with ability to prioritise in a fast-paced setting.
• Proven ability to coach and motivate team members.

Responsibilities

• Lead the day-to-day Group Reservations coordination to ensure seamless client experiences.
• Manage group bookings of 10 rooms or more from enquiry to arrival.
• Prepare quotations, contracts, rooming lists, payments and movement information.
• Build relationships with clients, PCOs, travel partners and stakeholders.
• Coach and develop team members through training and feedback.
• Support Portfolio Reservations Manager with daily tasks and supervision.
• Handle escalated guest inquiries professionally and efficiently.
• Monitor inventory, forecasting and trends to maximise performance.
• Produce reports and analysis to support business decisions.
• Collaborate with Sales, Revenue and Front Office to deliver exceptional group service.
• Identify opportunities to improve processes and efficiency.

Job Description

What you'll be doing

• Lead the day-to-day coordination of the Group Reservations function, ensuring a seamless experience for clients and guests.
• Manage accommodation-only group bookings of 10 rooms or more, from enquiry through to arrival.
• Prepare group quotations, contracts, rooming lists, payments and group movement information.
• Build and maintain strong relationships with clients, PCOs, travel partners and internal stakeholders.
• Support, coach and develop team members through ongoing training, guidance and performance feedback.
• Assist the Portfolio Reservations Manager with daily tasks and team supervision.
• Handle escalated guest and client enquiries professionally and efficiently.
• Monitor group inventory, forecasting and business trends to maximise hotel performance.
• Produce group reservation reports, forecasts and analysis to support business decisions.
• Work closely with Sales, Revenue, Front Office and other departments to ensure exceptional group delivery.
• Identify opportunities to improve processes, systems and team efficiency.

Qualifications

• Previous experience in a Reservations Supervisory role or similar leadership position within a hotel environment.
• Strong knowledge of group reservations and hotel operations.
• Experience using Opera PMS and Microsoft Office (preferred).
• Exceptional organisation skills with the ability to manage multiple priorities in a fast-paced environment.
• Proven ability to coach, mentor and motivate team members.
• Excellent communication, stakeholder management and relationship-building skills.
• A commercial mindset with strong attention to detail and problem-solving abilities.
• Ability to work independently while contributing positively to a collaborative team culture.
• Passion for delivering outstanding customer service and guest experiences.
