Job summary

Rydges Melbourne, part of EVT Group, is seeking a Group & Reservations Agent to manage group enquiries and reservations. You will convert inquiries into confirmed bookings, working across reservations and group sales to maximise revenue while delivering an exceptional guest experience.

You will coordinate with Events and Revenue teams, maintain strong client relationships, and ensure accurate rate codes and room allocations in a fast-paced hotel environment.

About the Role

If you enjoy variety, pace and building relationships, this role is for you. This position runs on a Wednesday to Sunday roster. As Group & Reservations Agent, you'll be the first point of contact for reservations and group enquiries, turning them into confirmed bookings through warm, responsive service and sharp commercial thinking. Working across both reservations and group sales in a fast-paced, commercially driven role, you'll respond quickly and accurately, follow up with purpose, and work closely with Events and Revenue to maximise revenue and deliver an exceptional guest experience.

Key Responsibilities

• Coordinate group requests received by phone, email, iVvy and other third-party channels, actioning reservations inboxes to meet agreed efficiency targets.
• Follow the EVT group booking workflow, using the CRM to manage daily tasks from entering requests through to preparing proposals and contracts.
• Create tailored, considered proposals that set Rydges Melbourne apart, following up meaningfully to convert business.
• Build trusted relationships with clients, Travel Management Companies, Inbound Tour Operators, PCOs and other stakeholders.
• Check group bookings in OPERA, confirming rate codes, rates, room types, rooms held and market segments are correct.
• Manage amendments, special requests, rooming lists, room allocations, deposits and final invoices.
• Communicate group requirements accurately to Front Office, operations and other departments across all markets.
• Work closely with the Conference & Events team to coordinate residential conference and event groups.
• Complete post-stay follow-up with groups, sharing feedback with other departments to improve the guest experience.

What You'll Bring

• Experience with OPERA Cloud or OPERA V5.
• Previous group sales or reservations experience within a hotel environment.
• iVvy experience is highly regarded.
• Strong commercial thinking, with the ability to turn enquiries into confirmed, revenue-maximising bookings.
• Excellent communication and relationship-building skills, with a warm, professional manner.
• Strong attention to detail and administrative accuracy, with the ability to manage multiple bookings and deadlines.
• Availability to work a Wednesday to Sunday roster, including weekend coverage of both reservations and group enquiries.
