Your New Role and Responsibilities

The Governance Coordinator will provide day-to-day coordination, administrative, and governance support services across Defence Digital Solutions and Support.

This role ensures the smooth scheduling, preparation and follow-up of governance meetings, supports the delivery of high-level internal and external reporting and assists in embedding efficient and transparent governance practices. This role falls under the Business Operations team and will work closely with senior stakeholders and the broader team to ensure consistent, accurate and timely governance support.

Responsibilities

  • Prepare high-quality governance packs, presentations, reports, and meeting materials to support decision-making.

  • Coordinate meetings, manage calendars, and oversee logistics including minute-taking, action tracking, and follow-ups.

  • Maintain accurate governance documentation, records, registers, and contribute to improving governance systems and processes.

  • Collaborate with internal stakeholders to ensure timely information sharing and alignment with governance and reporting requirements.

  • Provide governance support to executive and operations teams, including stepping in for the Governance Lead when needed.

About You

  • Highly organised and detail-oriented, with strong coordination skills and the ability to manage competing priorities under pressure.

  • Self-motivated and capable of working independently, showing initiative and a strong work ethic to meet critical deadlines — including after-hours when required.

  • Excellent written and verbal communication skills, with a collaborative mindset and the ability to build strong relationships with stakeholders.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable using reporting or workflow tools.

  • Adaptable, resilient, and willing to step into new challenges, including providing continuity and support for the Governance Lead as needed.

This role does require the successful applicant to be an Australian Citizen and hold a NV-1 level security clearance.
