Job summary

Hays Recruitment has partnered with a leading global service provider to recruit an experienced Facilities Coordinator for a part-time opportunity based in Sale, Victoria. You will help keep day-to-day operations running smoothly within a reputable, well-established organisation.

The role offers 15 hours per week with flexible scheduling and the option to work from home for part of the time, with on-site attendance when contractors are on site.

Qualifications

  • Demonstrated experience in a Facilities Coordinator or Facilities Administrator role is desirable.
  • Ability to work independently and manage competing priorities.
  • Strong vendor and contract management experience.
  • Proficient in MS Office.

Responsibilities

  • Oversee building maintenance schedules and respond to urgent maintenance issues as they arise
  • Manage planned preventative maintenance programmes
  • Manage relationships with external vendors, including reviewing vendor costs and purchase orders prior to work commencing
  • Welcome visitors professionally and ensure safety protocols are followed
  • Manage office stationery and pantry supplies
  • Collect and distribute mail
  • Conduct monthly facility inspections and report on any issues identified
  • Handle confidential waste and document archiving
  • Support health and safety compliance, including maintaining emergency action plans and testing security systems

Your new company Hays Recruitment has partnered with a leading global service provider to recruit an experienced Facilities Coordinator for a part-time opportunity based in Sale. Join a reputable, well-established organisation known for its strong industry presence and supportive team culture, where you'll play a key role in keeping day-to-day operations running smoothly. This role is offered on a part-time basis, totalling 15 hours per week, with flexibility to structure these hours across multiple days to suit your schedule. There's also the option to work from home for a portion of your hours, with on-site attendance required when contractors are on-site or visitors are expected. It's an initial temporary assignment through to June 2027, with a high possibility of extension into a longer-term or permanent position for the right candidate.

Your new role

What you’ll need to succeed

  • Excellent written and verbal communication skills, with the ability to engage confidently with stakeholders and contractors
