Job summary

JLL is seeking an experienced Facilities Assistant in Melbourne to keep client workspaces running safely and efficiently. You will coordinate maintenance, conduct regular inspections, and support vendor relationships to maintain high standards of the built environment.

Qualifications

  • 1–3 years of facilities management, building maintenance, or related field.
  • Strong technical knowledge of building systems, maintenance procedures, and basic troubleshooting.

Responsibilities

  • Regular inspections of the facility to identify maintenance needs, safety hazards, and opportunities for operational improvements.
  • Coordinate and oversee maintenance requests from initiation through completion, ensuring timely resolution and quality workmanship.
  • Serve as the primary contact for vendor coordination, scheduling service visits, managing work orders, and ensuring all work meets facility standards.
  • Monitor building systems including HVAC, lighting, plumbing, and security for optimal performance and address malfunctions.
  • Maintain records of maintenance activities, vendor contracts, equipment manuals, and compliance documentation.

As a Facilities Assistant at JLL, you'll play a vital role in keeping our client's workspace running smoothly, safely, and efficiently. This is a hands‑on position where you'll support the day‑to‑day operations of the facility, ensuring that every aspect of the physical environment meets the highest standards. From coordinating maintenance requests and conducting regular inspections to managing vendor relationships and responding to urgent issues, you'll be the backbone of a well‑functioning workplace.

An overview of the role
  • Conduct regular inspections of the facility to identify maintenance needs, safety hazards, and opportunities for operational improvements
  • Coordinate and oversee maintenance requests from initiation through completion, ensuring timely resolution and quality workmanship
  • Serve as the primary point of contact for vendor coordination, scheduling service visits, managing work orders, and ensuring all work meets facility standards
  • Monitor building systems including HVAC, lighting, plumbing, and security to ensure optimal performance and promptly address any malfunctions
  • Respond to urgent facility issues with speed and efficiency, troubleshooting problems and implementing immediate solutions to minimize disruptionli>
  • Maintain accurate records of maintenance activities, vendor contracts, equipment manuals, and compliance documentation
  • Support health and safety initiatives by conducting routine checks, maintaining emergency equipment, and ensuring compliance with building codes and regulations
  • Assist with space management activities including moves, adds, changes, and special project coordination to support evolving workplace needs

  • 1-3 years of experience in facilities management, building maintenance, property operations, or a related field
  • Strong technical knowledge of building systems, maintenance procedures, and basic troubleshooting techniques
  • Excellent organizational skills with the ability to manage multiple work orders, prioritize urgent requests, and track projects through completion
  • Effective communication skills with the ability to coordinate with vendors, contractors, and internal stakeholders professionally and clearly
  • Proactive mindset with strong problem‑solving abilities and a hands‑on approach to addressing facility challenges
  • Comfortable working independently while also collaborating as part of a facilities team to achieve shared operational goals
  • Flexibility to respond to emergency situations, adjust priorities as needs change, and occasionally work outside standard business hours
  • Physical ability to conduct facility inspections, climb ladders, lift equipment, and perform tasks that require mobility throughout the building
Preferred qualifications
  • Technical certifications in HVAC, electrical, plumbing, or other building trades
  • Experience with computerized maintenance management systems (CMMS) or work order tracking software
  • Knowledge of health and safety regulations, building codes, and compliance requirements
  • Background working in commercial real estate, corporate facilities, or multi‑tenant buildings
  • Basic knowledge of sustainability practices and energy management in building operations
