Job summary

Court Services Victoria (CSV) in Melbourne is seeking an Executive & Project Support Officer to provide high-level support to a team of Executive Directors while coordinating key projects and strategic initiatives across the organisation. In this fast-paced environment you will navigate governance processes, support transformation initiatives and work closely with senior leaders.

Qualifications

  • Experience providing high-level executive or administrative support in a complex environment.
  • Excellent organisation, prioritisation and time-management skills.
  • Strong written communication, with briefing and report writing experience.
  • Demonstrated stakeholder engagement and relationship management capability.
  • Ability to manage workload autonomously while delivering on competing priorities.

Responsibilities

  • Provide high-level executive support including diary management and meeting coordination.
  • Coordinate strategic projects and governance activities across the organisation.
  • Prepare briefings, reports and governance documentation for stakeholders.
  • Build stakeholder relationships and support cross-functional collaboration.
  • Monitor risks, issues and priorities across portfolios to support delivery.
  • Support divisional operations through procurement, invoicing, onboarding and other admin tasks.

About the Role

This is an exciting opportunity to join VCAT as an Executive & Project Support Officer , providing high-level executive support to a team of Executive Directors while coordinating key projects and strategic initiatives across the organisation. In this dynamic and varied role, you will manage executive operations, coordinate governance activities, support planning and implementation of transformation projects, and prepare high-quality briefings and business documentation. Working closely with senior leaders and stakeholders, you will play a pivotal role in ensuring priorities are delivered, risks are managed, and organisational outcomes are achieved. Responsibilities include:
  • providing high-level executive support, including diary management, meeting coordination, correspondence management and administrative support for the Executive Director team
  • coordinating strategic projects and organisational transformation initiatives.
  • preparing briefings, reports and governance documentation for key stakeholders
  • building strong stakeholder relationships and support cross-functional collaboration
  • monitoring risks, issues and priorities across portfolios, helping to drive collaboration and successful project delivery
  • supporting divisional operations through procurement, invoicing, onboarding and other business support activities

This is a 12-month fixed term opportunity

About You

You are a highly organised and proactive professional who thrives in a fast-paced environment supporting senior leaders and coordinating competing priorities. You bring strong executive support experience, exceptional organisational skills and the ability to manage confidential information with discretion and professionalism. You are an effective communicator with well-developed stakeholder management skills and the ability to build trusted relationships across all levels of an organisation. You can confidently prepare high-quality briefings, reports and business documentation, while ensuring work is delivered accurately and on time. With strong project coordination capabilities, you can manage multiple tasks simultaneously, monitor progress, identify risks and keep initiatives on track. You are solutions-focused, adaptable and comfortable working independently while collaborating with diverse stakeholders to achieve shared outcomes.

To be successful in the role, you will bring:

  • experience providing high-level executive or administrative support in a complex environment
  • excellent organisation, prioritisation and time management skills
  • strong written communication skills, including experience preparing briefings, reports and correspondence
  • demonstrated stakeholder engagement and relationship management capability
  • proven capacity to independently manage workload and competing demands with a high degree of autonomy
  • experience coordinating projects, governance activities or business initiatives
  • the ability to work with initiative, sound judgement and a high degree of professionalism and confidentiality
