About the Role As Executive Assistant, you will play a central role in helping the CEO achieve key strategic objectives, initiatives, and business goals. You’ll act as a trusted partner, ensuring smooth day-to-day operations and providing leadership support across various functions. This position also contributes to broader organizational success by supporting internal communications, promoting company culture, and assisting with office and event management.
You will work closely with the Executive Assistant to the Chief Risk Officer (CRO) to uphold office standards and champion a positive, values-driven workplace culture.
Key Responsibilities Executive Support
- Efficiently manage the CEO’s schedule and prioritize appointments and commitments.
- Serve as a liaison between the CEO and internal/external stakeholders, maintaining a high level of professionalism and confidentiality.
- Conduct research and follow up on issues raised to the CEO, ensuring timely and appropriate action.
- Draft correspondence, presentations, reports, and communications on behalf of the CEO.
- Coordinate travel and accommodation arrangements for the CEO and other senior leaders.
- Track CEO-related expenses and support overall budget and financial management.
- Collaborate with the Project Manager to align business strategies and coordinate key initiatives.
- Support company strategy planning, including workshops, strategy days, and annual business rhythms.
Board & Leadership Team Support- Coordinate the preparation, collation, and distribution of Board materials and meeting packs.
- Organize logistics for Board meetings, including venues, travel, and catering.
- Support Leadership Team with scheduling, meeting coordination, and strategy implementation.
- Maintain strict confidentiality and professionalism in all dealings with Board members.
Office Management & Culture Support- Assist the Business Services Team with office and facilities management, including events and relocations.
- Identify and implement cost-saving measures within office operations.
- Support company culture through staff events, internal communications, and environment enhancements.
- Act as a sounding board for office morale and relay key issues to the CEO.
Event Coordination- Plan and coordinate Leadership Team meetings, offsites, and company-wide events.
- Organize the annual staff conference, social events, and end-of-year celebrations.
- Support departmental team-building activities and manage external facilitators as needed.
- Handle travel and logistics related to internal and external events.
Key Requirements Experience- 5–7 years of experience supporting C-level executives in a fast-paced environment.
- Experience in people management and cross-functional leadership support.
Knowledge & Tools- Proficiency in Microsoft Office Suite, including Teams.
- Familiarity with expense management tools (preferred).
- Comfortable learning and adapting to new software systems.
