Job description

Preston Rowe Paterson (PRP) is a trusted name in the property valuation industry, known for delivering accurate, independent, and timely valuation services across residential, commercial, industrial, and specialised asset classes.

We’re currently seeking an experienced and reliable Executive Assistant / Office & Business Manager to join us on an 11-month fixed-term contract to cover maternity leave, starting early November. This is a critical role supporting our managing director & leadership team and keeping our operations running smoothly—perfect for someone who enjoys variety and responsibility.

About the Role

This is a unique, hybrid role combining high-level executive support, office management, and light business operations. You’ll work closely with the Managing Director and senior valuers to streamline workflows, manage the office environment, and support business-critical functions like HR & Compliance.

Contract Duration: 11 months, with a handover period at the beginning and end of the contract to ensure a smooth transition.

Key Responsibilities

Executive Support

  • Manage the calendar, inbox, and travel schedule of the managing director
  • Coordinate meetings, minutes, and follow-ups across leadership and client groups
  • Act as a key liaison between the managing director and staff, clients, and stakeholders

Office & Operations Management

  • Oversee the day-to-day operations of the office, ensuring a professional and well-functioning environment
  • Support internal teams, helping with schedules, deadlines and communication to ensure smooth workflow
  • Manage office supplies, equipment, and relationships with service providers
  • Ensure the team has the tools, systems, and support they need to perform at their best
  • Organise business travel, accommodation and events

Business Support

  • Assist with onboarding of valuers and admin staff, including IT setup and induction packs
  • Manage HR-related tasks such as employee records, leave tracking, and compliance with workplace policies
  • Maintain compliance records, accreditation renewals, and company registers
  • Support internal bookkeeper with accounting tasks such as invoicing, expense reconciliation, and accounts assistance when required
  • Monitor job tracking systems (e.g. ValEx) and ensure data accuracy and workflow efficiency
  • Help identify and implement process improvements across the business
  • Support key business projects and initiatives, helping manage timelines, resources and deliverables
About You

You’re a highly organised, adaptable, and discreet professional who can manage multiple priorities while maintaining attention to detail. You enjoy working in a tight-knit team and understand the nuances of a professional services environment—especially one with external clients and industry compliance.

You’ll Bring:

  • Experience in an Executive Assistant, Office Manager, or Business Support role
  • Experience in (or an understanding of) the property, valuation, or professional services industry
  • Excellent written and verbal communication skills
  • Strong organisational and problem-solving abilities
  • High proficiency with Microsoft Office (Word, Excel, Outlook) and confidence with picking up external systems (such as ValEx)
  • A proactive, no-task-too-small attitude and strong professional discretion
  • Prior experience supporting compliance, HR, or finance processes is a plus
