In this part-time (3-4 days) role, you'll take ownership of the end-to-end planning process, bringing ideas to life, managing budgets and vendors, coordinating logistics, and overseeing on-site delivery. You'll ensure every detail is covered and that each event runs smoothly, aligns with business objectives, and delivers meaningful outcomes.

What you’ll do

• Coordinate end-to-end planning including scheduling, logistics, catering, AV services and guest management for a diverse range of events
• Review and monitor event budgets, ensuring efficient spending and high-quality execution
• Manage venue selection, negotiate with vendors and partners, coordinate catering, oversee AV setup, arrange travel, and address technical requirements
• Oversee on-site event execution, handling logistics, resolving issues to ensure a seamless experience
• Conduct post-event evaluations, financial reconciliation, and gather feedback for ongoing improvements in future events
• Work closely with internal teams, including marketing, sales and leadership to align event objectives with company goals

What you’ll bring

• Experience in event coordination, including managing multiple events simultaneously
• Strong project coordination, organisational skills and attention to detail, with the ability to juggle priorities and meet deadlines in a fast-paced environment
• Excellent interpersonal skills with experience collaborating with multiple teams and departments, clients, vendors and partners
• A proactive, solution-oriented approach to tackling challenges as they arise
• Demonstrated experience in managing and optimising event budgets
• Proficiency with CRM tools such as Hubspot advantageous
• Flexibility and willingness to work outside of regular business hours and travel when required
