The Tailor in Australia’s leading luxury travel company is seeking a warm, highly organised Delivery Team Coordinator to take care of clients from handover to journey completion, ensuring every trip feels seamless, personal and special.

You'll be the main contact while clients travel in Australia, reconfirm arrangements, coordinate suppliers and manage bookings, anticipating needs, handling changes calmly and maintaining the high-touch care that creates lifelong memories.

We’re looking for a warm, thoughtful and highly organised Delivery Team Coordinator to join our close-knit team at The Tailor, Australia’s leading luxury travel company.

This is a role for someone who gets real satisfaction from looking after people and cares about the client experience. Someone who understands that exceptional service isn’t just about making sure everything runs to plan, but about the personal touches, attention to detail and genuine care that turn an incredible trip into lifelong memories.

About the role

From the point a client’s journey is handed over by their Travel Designer through to the end of their trip, you’ll be the person making sure they feel completely looked after.

You’ll be their main point of contact while they’re travelling in Australia, building a positive relationship with them and making sure their journey feels seamless, personal and special.

You’ll be across every detail
Behind the scenes, you’ll reconfirm arrangements, coordinate with our incredible network of supplier partners, manage bookings and make sure everyone has the right information at the right time.

You’ll think one step ahead
Exceptional service isn’t just about making sure the itinerary runs to plan - you’ll anticipate what might make a client’s day easier or more enjoyable, whether that’s sharing tomorrow’s weather, reminding them of an early start or suggesting somewhere special for dinner.

You’ll be there when plans change
Travel doesn’t always go exactly to plan and when the unexpected happens, you’ll be the calm and capable person who steps in, finds a solution and makes sure the client continues to feel supported.

You’ll take pride in knowing they feel cared for throughout their journey and get real satisfaction from helping create travel memories they’ll talk about for years to come.

You’ll report to our Operations Manager and work closely with our Travel Designers, Delivery Team, Product Team and supplier partners across Australia.

As our clients travel outside traditional business hours, this role also forms part of a roster providing support across evenings, weekends and public holidays.

Your key responsibilities

Creating exceptional client experiences and build positive relationships with clients while they’re travelling, providing warm, attentive and highly personalised support throughout their journey.

Anticipate client needs and proactively provide the information, reminders and thoughtful touches that make their experience feel seamless and considered.

Take ownership of client files at handover, review every detail and ensure outstanding actions, changes or inconsistencies are resolved before travel.

Reconfirm accommodation, transfers, guides, activities, restaurants and other itinerary components, ensuring every detail is accurate and ready to run.

Be the main point of contact for clients while they’re travelling, responding promptly, warmly and professionally through WhatsApp and our client app.

When something doesn’t go to plan, remain calm, take ownership and find the best possible solution for the client.

Work closely with our supplier partners to make sure they understand the client, their requirements and the details of their journey.

Maintain accurate client files, itineraries, client and agent notes and recommendation lists so important information is always current and accessible.

Support rostering, buddy coverage and handovers across the Delivery Team to ensure every client receives the same exceptional level of care.

Ideally, you’ll bring experience in travel, tourism, coordination, operations or another client-service focused environment. Knowledge of Australian destinations, properties and suppliers will be highly regarded, as will previous concierge, guest relations or in-country support experience.

You will need to be available to participate in a roster that includes evenings, weekends and public holidays.
