Job summary

Susquehanna International Group in Sydney seeks a proactive Receptionist to join our Employee Services & Experience team. You will blend reception, office services, hospitality, events and admin support to create a welcoming, well-organised workplace for employees.

In a fast-paced environment you will own the front desk, coordinate facilities, manage mail and deliveries, assist new starters with access and setup, and help arrange travel and events.

Qualifications

• At least two years’ experience in reception, administration, hospitality, aviation or another customer-focused environment.
• Warm, professional, service-focused approach.
• Clear written and verbal communication skills.
• Proactive mindset with good organizational skills.

Responsibilities

• Be the welcoming face of our front desk, managing the day-to-day, including answering calls, taking messages and greeting employees, candidates, visitors and contractors.
• Act as the first point of contact for onsite services and everyday office enquiries, connecting people with the right teams and following through on their requests.
• Keep things moving by coordinating incoming and outgoing mail, couriers and deliveries.
• Help new starters feel set up for success by arranging their building access and preparing their desks with the required stationery and supplies.
• Help keep our office welcoming and well-organised by making sure meeting rooms, cupboards and shared areas are presentable, appropriately set up and well stocked.
• Keep our workspace running smoothly by coordinating building maintenance and equipment servicing, including raising tenant service requests and arranging repairs for items such as coffee machines and water-filter systems.
• Support employees with their business travel by responding to enquiries and coordinating bookings through our travel-management system, in line with the APAC Travel Policy.
• Build and maintain great relationships with our cleaning providers, following up on service issues and managing escalations when required.
• Partner with business stakeholders to coordinate team dinners, activities and other small events.
• Pitch in with ad hoc administrative requests and short-term projects, using your initiative to spot practical ways to improve our office services and processes.

• Working knowledge of Microsoft Outlook, Word and Excel.
• Experience with corporate travel bookings or travel-management systems would be advantageous.
