Deliverables

  • Effective support to project, product and governance activities.
  • Timely and accurate preparation of project documentation, governance artefacts and reporting products.
  • Achievement of project and product milestones through proactive coordination and stakeholder engagement.
  • Development and maintenance of sustainment and support system cost information to inform future capability planning.
  • Improved visibility of project performance, risks, financial status and governance obligations.
  • Effective collaboration with Commonwealth personnel and industry partners.
  • Build and sustain productive relationships with project teams, industry partners, capability managers and support organisations.
  • Engage stakeholders to gather information, resolve issues and support delivery of project outcomes.
  • Provide timely advice and coordination support to project and product leadership.
  • Support commercial and financial management activities including contract administration, purchase order management, invoice processing, budget monitoring, financial reporting and procurement activities.
  • Assist with forecasting, budgeting and cost estimate development activities for approved and unapproved project scope.
  • Support the development of product management, support system and sustainment planning artefacts to inform future capability transitions and life-of-type management activities.
  • Assist with the identification, management and reporting of risks, issues, opportunities and dependencies.

Weekly Hours:

  • Monday to Friday / 40 hours per week, with options for work from home on Friday's - depending on task requirements.

SFIA Skills Sought: The management of projects, typically (but not exclusively) involving the development and implementation of business processes to meet identified business needs, acquiring and utilising the necessary resources and skills, within agreed parameters of cost, timescales, and quality. The adoption and adaptation of project management methodologies based on the context of the project and selecting appropriately from predictive (plan-driven) approaches or adaptive (iterative/agile) approaches.

PRMG Level 4: Defines, documents and carries out small projects or sub-projects (typically less than six months, with limited budget, limited interdependency with other projects, and no significant strategic impact), alone or with a small team, actively participating in all phases. Identifies, assesses and manages risks to the success of the project. Applies appropriate project management methods and tools whether predictive (plan-driven) approaches or adaptive (iterative/agile) approaches. Agrees project approach with stakeholders, and prepares realistic plans (including quality, risk and communications plans) and tracks activities against the project schedule, managing stakeholder involvement as appropriate. Monitors costs, timescales and resources used, and takes action where these deviate from agreed tolerances. Ensures that own projects are formally closed and, where appropriate, subsequently reviewed, and that lessons learned are recorded.

Our client URGENTLY requires a Project Management Support Officer for a 2months+ Contract role on the Gold Coast.

The Project Management Support Officer will be the backbone of the operations, providing high-level support to the regional unit. You will be responsible for the seamless coordination of recruitment and onboarding activities, workforce management processes, and the maintenance of critical personnel records.

Skills and experience required includes:

  • Deliver efficient administrative services to internal and external stakeholders, ensuring all processes align with standards of excellence.
  • Coordinate the end-to-end recruitment lifecycle, from initial candidate engagement to onboarding, ensuring a smooth and positive experience for all new starters.
  • Support the management of our contractor and permanent workforce, ensuring accurate record-keeping and compliance with organisational policies and procedures.
  • Act as a primary point of contact, coordinating meetings, managing documentation, and fostering strong relationships across our network.
