Job description

Join to apply for the Compliance & Contracts Coordinator role at ASPECT Studios

The Practice

ASPECT Studios is a purpose-oriented landscape architecture and urban design practice. With operations across Australia, Asia, UK and the Middle East, our studios believe in the power of regenerative design to shape communities and rebuild natural environments.

Commercial Team

The ASPECT Commercial team forms a part of the global Hub Group (think Finance, Marketing, IT, People & Capability, and our global Executive leaders) – together with project finance experts, the Commercial team provides targeted operational management and support to nine (9) studios across over five (5) legal jurisdictions.

The Role

Reporting to the Group Operations Manager, this role provides critical support to studios in their delivery of operational excellence and safety standards. You will primarily interface with local Studio Managers, Directors and design leaders in support of their Quality, Safety and Environment processes (ISO certification), as well as compliance reporting and client / subconsultant contract management.

As the primary point of contact for studios requiring Integrated Management System (IMS), safety, and compliance support, you will maintain a birds‑eye‑view of studio operations, and changing legislative / compliance requirements.

  • Coordinating monthly calendar of audit / compliance activities, preparing agendas and minuting meetings as required.
  • Disseminating key information / actions to studios, following up and tracking outcomes.
  • Delivering IMS inductions, onboarding, and training programs as required.
  • Supporting internal / external audit processes, assisting in preparing and closing out corrective actions.
  • Periodic reporting on project and business performance, as it relates to ISO 9001 quality and ISO 45001 safety.
  • Working through close‑out of open contracts with studio / contract managers.
  • Liaising with external legal counsel in the management of contract reviews.
  • Assisting in development and review of internal policies, procedures, and resources.
  • Support leadership in implementing safety initiatives and promoting safety culture.
  • Research – we’re always on the lookout for new legislation, changing best practice and the latest in industry news and trends.

As we collaborate with teams across five global regions, our team works flexibly to accommodate different time zones when necessary. ASPECT recognises the importance of sustainable hours and a healthy work‑life balance, so flex (including working from home), is a key feature of the way our team works.

About You

This is an exciting opportunity for someone looking to make a positive impact in a values‑driven organisation. You’ll contribute 3–5 years of professional experience in compliance, safety, or contract management roles – ideally from project‑based environments such as design, architecture, construction, mining, engineering or similar.

Formal qualifications in WHS, Environmental Management, Training & Assessment or similar are desirable but not strictly required. Exposure to ISO standards and WHS legislation will be highly regarded, as well as knowledge of current and emerging sustainability rating systems.

You'll be:
  • Great with numbers and enjoy working with detailed data and reports.
  • A strong communicator, able to build rapport easily and confidently.
  • Organised – you believe it’s important to do what you say you will.
  • Comfortable navigating complex or conflicting priorities, and able to follow up others with professionalism and tact to achieve positive outcomes.
  • Collaborative – you recognise that we will generate better outcomes working together, rather than going it alone.

If the above describes you, we want to hear from you!

Our workplace culture is extremely supportive, creative and driven, so you can rest assured that your colleagues will have your back and will help you to succeed in the role. We embrace diversity, foster professional development, and will provide you with the tools and environment you need to thrive.

Benefits
  • Ability to purchase an additional two weeks of leave via our Purchased Leave initiative.
  • Access to generous paid parental leave benefits after 6 months.
  • MAPS Days – four paid days per year to explore your passion project, and up to two days for paid volunteering at an organisation of your choice.
  • Professional membership support following probation – reimbursement of annual memberships fees.
