Job summary

The Commons in Sydney seeks a proactive Community Associate to foster a thriving, inclusive environment. You will support member experience, events, and seamless operations, engaging with members, hosting tours, inductions, and welcome packs.

You’re a team player who can work independently, with meticulous attention to detail and strong relationship-building skills to support both members and the wider team.

Qualifications

  • Initiate contact easily, especially with new people.
  • Experience with administration and/or operations.
  • Proactive, adaptable, and eager to learn.

Responsibilities

  • Greet members and guests from the front desk with excellent service.
  • Anticipate member needs to enhance experiences.
  • Facilitate introductions and engagement through relationships.
  • Oversee onboarding and welcome packs for new members.
  • Support events creation and set-up for weekly programs.
  • Handle IT/ticket basics and respond to inquiries promptly.
  • Maintain member databases, space cleanliness, and inventory.

About the Role

We’re seeking a talented and passionate Community Associate to join our team and help us create a thriving and inclusive environment. As a key member of the team, you will play a crucial role in fostering community, supporting the member experience, and ensuring seamless operations. You are a team player who can work independently, demonstrate excellent attention to detail, and build strong internal and external relationships.


About You

You are a proactive and personable professional with a strong background in community engagement, events, and operations. With a \"can-do\" attitude and a willingness to learn, you thrive in dynamic environments, demonstrating adaptability and problem-solving skills. Your ability to build meaningful relationships and support both members and the wider team makes you a key asset in fostering a vibrant community.


The main duties of the role include but are not limited to the below:


What you'll do

Community Engagement & Member Experience


  • Greet members and guests from the front desk, consistently delivering excellent customer service.

  • Anticipate member needs to enhance their experience.

  • Facilitate introductions, collaborations, and engagement through relationship-building initiatives.

  • Understand our members and how we can support their businesses.

  • Manage the onboarding process, including tours, inductions, and welcome packs.

  • Address member-related issues or elevate to the Community Manager when necessary.

  • Notify the Community Manager of any potential membership changes.


Events Management


  • Assist in creating and distributing promotional materials for weekly events.

  • Support event setup and pack-down as required.

  • Help prepare for community events such as member breakfasts and Friday night drinks.

  • Take ownership of events to ensure an outstanding member experience.

  • Actively participate in community and member events.


Operations & Facilities Management


  • Support daily scheduling and operational tasks as directed by the Community Manager.

  • Respond to emails and member inquiries in a timely manner.

  • On-board and off-board members and companies within the space.

  • Maintain accurate databases of members, companies, contractors, and suppliers.

  • Ensure the accuracy of the Member/Doggo Directory.

  • Assist with IT ticket management and provide basic troubleshooting support.

  • Send out notifications for events and reminders within your location.

  • Ensure offices and desks are clean and ready for new members.

  • Deliver incoming mail to members promptly.

  • Ensure the workspace is well presented and fully operational.

  • Report maintenance issues and assist in their resolution.

  • Conduct regular building checks and maintain cleanliness.

  • Monitor stock levels and order consumables as needed.

  • Oversee storage area audits and cleanliness.

  • Coordinate with cleaning staff to maintain high standards.

  • Conduct weekly fridge and pantry cleans.
