Pace Live is seeking a Business Support Officer to assist with operations in a dynamic entertainment environment. This role involves supporting the CEO, managing ticketing processes, and assisting with marketing campaigns while ensuring smooth business operations. The Business Support Officer is a pivotal support role within our touring and producing company. You’ll work closely with the CEO and Producers to ensure the business runs smoothly — especially when others are travelling, away, or need help keeping momentum on key projects. You’ll also bring valuable support to our producing, ticketing, and marketing operations, helping coordinate everything from CRM databases to FOH logistics and comp requests.
We’re looking for someone with excellent organisational skills, a proactive, can-do mindset, and the ability to stay calm under pressure. Experience with venues and ticketing processes would be a bonus, but it’s not essential — we welcome candidates from a range of backgrounds, including arts, events, executive support, or other fast-paced industries with transferable skills.
This is a full-time role open to Gold Coast-based or remote applicants. Regular travel to our Gold Coast HQ (at least once per month) is required.
Support the CEO and Producers with inbox management, scheduling, follow-ups, and internal coordination
Track deadlines and tasks across departments to ensure follow-through
Draft emails, internal notes, and simple documents or updates for distribution
Liaise with venues, agents, and ticketing platforms to confirm event details and ticketing setups
Process comp ticket requests, manage allocations, and maintain accurate records
Assist with front-of-house planning and special access needs
Maintain and update CRM data (patrons, partners, press contacts, schools, etc.)
Support the preparation of artist contracts, show documentation, and internal tracking tools
Help ensure venue and box office details are correctly shared across departments
Assist with marketing campaign rollouts, including platform uploads, asset tracking, and copy distribution
Help maintain campaign calendars and content schedules in collaboration with the Marketing Manager
Coordinate with internal and external teams to ensure delivery deadlines are met
Format and distribute marketing assets and press kits to venues and media
Step in to cover priority admin or coordination tasks when other team members are away (e.g. travel, illness, leave)
Ensure documentation, trackers, and files are clearly organised and up to date
Identify gaps or delays in processes and escalate when necessary
Format and maintain internal documentation including registers, templates, and policy files
Assist with preparation of grant applications, tour briefs, reports, or meeting notes
Take on special projects from the CEO or Producers as needed
Highly organised with strong attention to detail and follow-through
Excellent written and verbal communication skills
Calm, dependable, and resourceful under pressure
Proactive and solutions-focused — able to work autonomously and take initiative
Comfortable working in a fast-paced, international environment with changing priorities
Tech-confident — especially with Google Workspace, Monday.com or similar, and cloud-based file systems
Ability to use AI tools effectively, with a strong interest in expanding the use of AI systems to streamline day-to-day work
Minimum 3 years’ experience in a high-level administrative, operations, or executive support role
Demonstrated ability to manage multiple priorities, track deadlines, and maintain structured workflows
Experience supporting senior leaders, project teams, or business units across departments
Strong written and verbal communication skills, with experience drafting internal and external documents
Background in using AI-based productivity tools (e.g. automation platforms, smart assistants, AI-enhanced writing or scheduling tools) (preferred)
Background in venues, ticketing systems, or live event operations (preferred)
A background in the arts, events, or entertainment sectors (preferred)
