We are seeking a Bid Coordinator to provide strong and reliable support to our Sector leadership team based in Adelaide. This is a unique and strategic role that supports our Sector Leadership team locally, while also collaborating with the APNA Prospects and Submissions team to proactively contribute to work winning opportunities and in delivering strong submissions. You will play a supportive role in developing key sections of submissions, such as methodology and value propositions, by contributing ideas and assisting with drafting to help ensure clarity and impact. You\'ll also help coordinate bid planning activities, including writing plans, tracking review schedules, and monitoring compliance requirements. This role will also have the opportunity to assist with:

Responsibilities
  • Prepare and coordinate proposals
  • Assist in the preparation of bids, helping to gather content and coordinate timelines to meet client requirements and submission deadlines
  • Support the alignment of submissions with our brand, tone of voice, and quality standards through careful editing and collaboration
  • Help maintain SharePoint bid sites, including tracking document versions and ensuring files are organised and up to date
  • Collaborate across the business
  • Assist in gathering input from market teams and senior colleagues to help prepare accurate and timely bid content
  • Provide support to Client Directors and divisional leaders by contributing to research and documentation that helps identify and position for future opportunities
  • Craft high-quality content
  • Deliver submissions that are professional, error-free and clearly convey our win themes and value propositions
  • Support the preparation and formatting of CVs, case studies, summaries, and cover letters, with guidance from senior team members
  • Assist with layout and presentation of documents using tools like Word and PowerPoint, while developing your skills in design and formatting
  • Contribute to the delivery of clear, well-presented submissions, helping to ensure accuracy and alignment with our messaging and value propositions
  • Manage knowledge and systems
  • Help organise and maintain a library of previous proposals and reusable content, ensuring materials are easy to access and up to date
  • Assist with tracking and managing submissions using tools such as CRM, Proposal Hub, and the APNA WIN Site, with training provided as needed
  • Support the archiving of final submissions and help identify valuable content for future use and reference
  • Tools and systems that support your success
  • Use value proposition tool documents to extract insights that sharpen our messaging and strengthen our bids
  • Create professional, client-ready documents using pre-templated software including Microsoft Office and Adobe Creative Suite
About you
  • Qualified in communications or marketing or business fields
  • Highly organised with a creative flair and the ability to balance structure and imagination to deliver polished work that’s both efficient and visually compelling
  • Confident communicator with a keen eye for detail, ready to collaborate across teams to gather information, craft persuasive content, and support the delivery of winning bids
  • A team player, who can collaborate with diverse stakeholders across teams and sectors
