Job description

ProMelius | Hervey Bay
Casual – 20+ hours per week | Opportunity for Part-Time or Full-Time
Immediate Start

Join a growing allied health team where your work genuinely matters.

ProMelius has grown and with the opening of our third clinic, we’re looking for an organised, reliable and proactive Allied Health Receptionist to join our administration team.

This position will initially be offered on a casual basis during the probationary period, with the opportunity to progress into a permanent part-time or full-time position for the right person.

This isn’t a role where you’ll simply sit at a reception desk and answer phones. Our administration team plays an important role in keeping our clinics running smoothly and ensuring our clients, families, clinicians and external stakeholders receive an exceptional experience.

We’re looking for someone who can confidently manage competing priorities, take initiative and think ahead, while also understanding the importance of following established procedures and completing tasks accurately and consistently.

About ProMelius

ProMelius is a growing multidisciplinary allied health organisation providing Physiotherapy, Occupational Therapy and broader allied health services across the Fraser Coast.

What began as a mobile physiotherapy service has grown into a multidisciplinary team providing care across clinic, home, school and community settings. We support a diverse client base including children, adults, NDIS participants, older Australians, private clients and people requiring rehabilitation.

Our name comes from Latin and represents improvement, progress and furtherance. Values that underpin how we approach both client care and the growth of our team.

Our three core values are simple:

We Care. We Are World-Class. We Hustle.

We value people who care about the experience they provide, take pride in doing their job well and aren’t afraid to get stuck in when things get busy.

ProMelius offers a supportive, growth-focused workplace with ongoing training and development opportunities and a collaborative multidisciplinary team.

About the Role

As an Allied Health Receptionist, you’ll often be the first point of contact for our clients and an important link between clients, clinicians, families, referrers and other healthcare and disability and aged care sector stakeholders.

Your responsibilities will include:

  • Providing friendly and professional reception and client service
  • Answering and managing incoming telephone calls and emails
  • Booking, rescheduling and cancelling appointments
  • Managing multiple clinicians’ diaries and appointment schedules
  • Processing new referrals and client intake
  • Maintaining accurate client records and documentation
  • Processing payments and HICAPS transactions
  • Supporting Medicare, DVA, NDIS and other funding-related administration
  • Communicating with clients, families, support coordinators, plan managers, referrers and other providers
  • Uploading, scanning and managing clinical and administrative documentation
  • Assisting with invoicing, accounts and outstanding administrative matters
  • Supporting clinicians with day-to-day administrative requirements
  • Maintaining a professional, organised and welcoming reception and clinic environment
  • Following internal procedures, workflows and administrative manuals
  • Identifying problems and taking appropriate initiative to help keep the clinic running efficiently
Who We’re Looking For

Previous experience in medical, allied health, disability or healthcare administration is highly desirable, however we’re willing to train an exceptional candidate who demonstrates the right attitude, aptitude and work ethic.

You’ll be someone who:

  • Is highly organised and able to manage multiple priorities at once
  • Has excellent attention to detail
  • Communicates confidently and professionally in person, over the phone and in writing
  • Is comfortable working in a busy healthcare environment
  • Takes initiative and can identify what needs to be done without constantly waiting for direction
  • Learns new systems and processes quickly
  • Is reliable, punctual and accountable
  • Is confident using computers and learning new software
  • Can remain calm and professional when priorities change
  • Understands the importance of confidentiality and professionalism in healthcare
  • Works well as part of a multidisciplinary team
  • Takes pride in completing tasks correctly the first time

Importantly, you must be comfortable following established procedures.

We have documented processes, training and administrative systems in place to ensure our clients receive consistent service and our clinicians are properly supported.

We absolutely value initiative, but we also value consistency.

The successful candidate will be someone who can learn our processes, understand why they’re in place and follow them accurately. If you’re someone who enjoys structure, appreciates clear expectations and takes satisfaction in getting the details right, you’ll fit in well.

Systems

Experience with the following would be advantageous:

  • Microsoft Office and general computer-based administration systems

Previous experience with NDIS, Medicare, DVA, private health or allied health administration would also be highly regarded.

Don’t have experience with every system listed? That doesn’t automatically rule you out. We’re prepared to train the right person who demonstrates strong administrative ability and a genuine willingness to learn.

What We Offer
  • 20+ hours per week
  • Casual employment during the initial probationary period
  • Opportunity to progress to permanent part-time or full-time employment for the right candidate
  • Remuneration based on experience and the applicable award
  • Structured training and established procedures
  • Opportunity to join ProMelius during an exciting period of growth
  • Supportive multidisciplinary team environment
  • Ongoing learning and development
  • Exposure to a diverse range of allied health services and funding streams
  • Opportunity to grow with an expanding local allied health organisation
