We are seeking a highly organized and detail-oriented Admin Support to assist with day-to-day operations and ensure the smooth running of our services. As part of our team, you will play a key role in supporting the delivery of quality care to our clients by providing administrative assistance to our care teams, management, and clients.
The Position is Casual with Full time hours to start with the possibility to go full time after the probation period has ended. Training will be provided.
Key Responsibilities:
- General Administration: Provide administrative support to the management and care teams, including scheduling, data entry, filing, ordering office supplies, and correspondence.
- Client Support: Assist with client intake and updates to client records. Maintain accurate and confidential client files in accordance with privacy regulations.
- Billing & Documentation: To ensure all financial records are maintained accurately. Assist with reporting and compliance documentation.
- Communication: Serve as a point of contact for clients, families, and other stakeholders. Address inquiries and coordinate communication between staff, clients, and external partners.
- Support Services: Help coordinate staff rosters, meetings, and training schedules. Assist with the preparation of reports and other documents as required.
- Scheduling and Recording Participant Appointments: Assisting the Care team with Booking and adding participant activities to the scheduling Software, calendars and logs
- Organizing Activities: Ensure all Office activities are planned, advertised and catered for. As well as the Community events board is kept up to date with local events to attend.
Skills & Experience Required:
- Experience: Minimum of 1–2 years' experience in an administrative role, ideally within the healthcare, disability support, or social services sector.
- Organizational Skills: Strong ability to prioritize tasks, manage multiple duties, and maintain a high level of attention to detail.
- Communication: Excellent written and verbal communication skills with the ability to interact effectively with people from diverse backgrounds.
- Technology Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with client management systems (CRM) or similar software.
- Confidentiality & Sensitivity: Understanding of the importance of confidentiality and ability to handle sensitive information with discretion.
- Positive Attitude: Ability to work independently and as part of a team, with a friendly, professional, and empathetic approach.
- NDIS Knowledge: Understanding of NDIS processes, plan management, and compliance requirements preferred
- Screening Requirements: Valid Police Check (or willingness to obtain) and NDIS Worker Screening Check required
