About the role: In this role, you will provide important administrative support for development contributions, including invoice processing, records management, and responding to enquiries. You'll assist with meetings, maintain internal systems, and support team projects with a strong focus on accuracy, service, and collaboration.

Work type: Permanent part time (60.8 hours per fortnight)
Classification: Band 5, commencing at $78,646 pa plus super

Key responsibilities include:

  • Demonstrated experience in financial administration, including the accurate processing, verification, and reconciliation of invoices, and the ability to resolve discrepancies in a timely and efficient manner.
  • Strong organisational skills and attention to detail, with proven experience in end-of-year and start-of-year financial administration tasks, ensuring compliance with relevant documentation and procedures.
  • Proficiency in setting up, maintaining, and managing internal systems and databases, with experience in records management, data entry, and using digital tools to support administrative processes.
  • Well-developed customer service and communication skills, with the ability to respond to a range of internal and external enquiries professionally and effectively via phone, email, and in-person.
  • Experience providing high-level administrative support, including diary and meeting coordination, minute-taking, mail handling, and general office administration duties in a busy team environment.
  • Ability to work collaboratively and flexibly, supporting team projects, promotional activities, and departmental needs, while demonstrating initiative and a commitment to continuous improvement.

About you: To be successful in this role, you will have a Certificate IV in Business Administration (or similar) and/or extensive experience in secretarial, administrative, and financial support. Your strong foundation will enable you to manage a range of tasks with accuracy and professionalism, contributing to the smooth operation of development contributions and broader team functions.

  • Strong software skills with practical experience in MS Office Suite, record management systems, GIS Software, and databases.
  • Well-developed analytical, investigative, interpretative, and problem-solving skills.
  • Highly developed organisational skills with the capacity to coordinate tasks, determine priorities, monitor workflows, and operate effectively in a highly pressured environment.
  • Highly developed interpersonal and communication skills, written and oral, and proven ability to liaise and communicate effectively and tactfully with internal and external stakeholders.
  • Preferred candidates will be required to undergo a National Police Check as part of the recruitment process (funded by the City).
