About the role

The role of Administration Officer works within the Mission and Mission in Action of HammondCare to ensure the provision of high-level administrative support to the hospital\'s functionality. This is a fixed term full-time role located at Greenwich Hospital.

Temporary relocation to Macquarie Hospital site during the Greenwich Hospital redevelopment from March 2026.

HammondCare is a NSW Health-affiliated organisation; all NSW Health transferrable entitlements will be recognised.

Key Responsibilities
  • Administration activities and support
  • Follow up and maintain current referral information
  • Planning and coordinating appointments for clinicians and booking patients in for MDT using eMR
  • Check-in and check-out and update patient status in eMR
  • All patient appointments entered into eMR in an efficient and timely manner
  • Notify and confirm patients\' appointments via email, SMS, letter and phone
  • Support to clients/carers prior to telehealth appointments
  • Effective liaison with LHD/external interpreter services, coordinating and booking appointments as required
  • Provision of accurate patient information and update of patient medical records
  • Provide thorough training to new or relief staff covering RTU to ensure administration processes are consistent
  • Provide office support services such as photocopying and scanning/faxing, and using all office computer systems effectively
  • Support reception cover and respond to internal and external enquiries as needed
  • Enter and maintain referral details into the case conferencing database
  • Prepare weekly patient list for case conference
  • Prepare and send GP discharge letters as per case conference
About you
  • Able to provide high-level administrative and organisational support in a health environment
  • Demonstrated problem-solving, prioritisation and communication skills
  • Experience with Microsoft Office and Health Information Systems (desirable)
  • Comprehensive experience in working in a flexible, multi-skilled team environment
  • High-level interpersonal, communication and customer service skills
  • Ability to respond appropriately to challenging behaviours of patients
  • Capable of working autonomously and effectively following directions
  • Multicultural sensitivity and/or experience working in a multicultural setting
  • Understanding medical terminology is desirable
  • A current driver\'s licence and safe driving record
