Job summary

IFYS invites applications for an Administration Assistant to join the Youth Transition Services team in Maroochydore. This role supports day-to-day operations, ensuring administrative processes are efficient, accurate, and responsive to the team and young people facing disengagement.

You will report to the Team Leader, provide high-quality admin support, coordinate bookings, manage the Client Management System, and help keep records compliant with policies and legislation.

Qualifications

  • Excellent written and verbal communication.
  • High level of attention to detail and accuracy.
  • Ability to manage multiple tasks and priorities.
  • Proficient in Microsoft Office Suite.

Responsibilities

  • Provide administrative support to the Team Leader and Youth Transition Services team.
  • Coordinate bookings for appointments, meeting rooms and vehicles.
  • Upload and maintain information within the Client Management System.
  • Review case notes and complete desktop audits to support quality and compliance requirements.
  • Answer and screen incoming calls, take messages and redirect enquiries appropriately.
  • Take accurate meeting minutes and distribute records to relevant team members.
  • Assist with the organisation and coordination of meetings, events and program activities.
  • Maintain accurate records and ensure compliance with organisational policies, procedures and relevant legislation.

About the opportunity

IFYS has an exciting opportunity for an Administration Assistant to join our Youth Transition Services (YTS) team.

This role plays a vital part in supporting the day-to-day operations of the program, ensuring administrative processes are efficient, accurate, and responsive to the needs of the team. Working within an established team environment, you will provide high-quality administrative support and help enable positive outcomes for young people experiencing disengagement and other life challenges.

As the Administration Assistant, you will report directly to the Team Leader and work closely with program staff to support the smooth operation of Youth Transition Services.

Key Responsibilities
  • Provide administrative support to the Team Leader and Youth Transition Services team

Requirements of the Role
  • Strong organisational skills with the ability to manage multiple tasks and competing priorities
  • Excellent written and verbal communication skills
  • High level of attention to detail and accuracy
  • Demonstrated experience providing administrative support within a busy office environment
  • Strong computer literacy, including Microsoft Office Suite (Outlook, Word and Excel)
  • Ability to work collaboratively within a team and maintain professional relationships with stakeholders
  • Experience working with databases or client management systems will be highly regarded
Must Hold or Be Willing to Obtain if Successful
  • Valid Queensland Driver’s Licence with no restrictions
  • QLD Working with Children Check (Paid Blue Card)
  • Licensed Care Suitability Check (LCS2)
  • National Crime Check (a new check will be completed through IFYS systems)
  • Ability to provide two recent line manager references including your current employer
