Your role
This role exists at the intersection of investment administration, financial controlling, and process thinking. You will keep our portfolio operations running with precision — and actively help build the systems and workflows that make that possible at scale. We are looking for someone who is as comfortable reviewing a financial statement or a capital call notice as they are mapping out a repetitive workflow and asking: “can we automate this?” You will work directly with the investment team, and also interface regularly with external accountants, tax advisors, legal counsel, and portfolio companies. This is not a role for someone who wants a clearly defined lane. It’s for someone who sees an undefined edge and moves toward it.
What you´ll do
- Administer and monitor our investment portfolio across asset classes - VC/PE, real estate, energy, and listed holdings - tracking capital calls, distributions, reporting deadlines, and key investment milestones
- Review invoices, financial statements, and reports from portfolio companies and external counterparties; flag discrepancies and follow through to resolution
- Serve as the primary point of contact with our bookkeepers for monthly and quarterly accounting cycles - providing the necessary documents, clarifying transactions, and ensuring clean, timely closing
- Monitor and reconcile accounting entries across our entities, and keep an eye on intercompany transactions, accruals, and period-end adjustments
- Support portfolio valuations, internal reporting, and preparation of annual report materials
- Coordinate with external accountants, tax advisors, and legal counsel on ongoing investment and entity matters
- Identify repetitive, time-consuming tasks across our investment workflows and take initiative to redesign, streamline, or automate them - using AI tools and modern workflow thinking
- Maintain clean, structured investment documentation and data across shared systems
- Contribute your perspective on deals, structures, and partnership opportunities — we want people who think, not just process
What we're looking for
- A backround in finance, accounting, or economics - with hands-on experience in an investment, audit, fund administration, or advisory context
- Comfort with accounting fundamentals: understanding monthly/quarterly close processes, reading a P&L and balance sheet, and communicating confidently with bookkeepers and auditors
- An entrepreneurial mindset: you’ve thrived in environments where the path isn’t always pre - defined and you’ve made it work anyway • Genuine interest in AI tools and workflow automation - not as a buzzword, but as a practical lever for doing better work
- Sharp analytical thinking and attention to detail - you read financial statements carefully, spot what doesn’t add up, and structure information clearly
- Strong communicator in German and English - written and spoken; confident in external conversations with lawyers, advisors, and institutional counterparties
- An ownership mindset: you follow things through, you flag problems early, and you don’t wait to be chased
- Interest in legal and/or accounting frameworks is a plus; so is a point of view on investments, structures, and what makes a good deal
- Discretion and trustworthiness - you will work with sensitive information in a high-trust, family office environment
