Job summary

Danube Group is seeking a Corporate Travel and Events Coordinator to manage international travel logistics for our real estate sales team and high-net-worth clients, requiring superb organization and attention to detail for cross-border arrangements.

You will coordinate flights, hotels and premium venues in multiple countries, oversee end-to-end invoice processing and reconciliation, and provide on-call support for disruptions while negotiating favorable rates to meet tight deadlines.

Qualifications

  • Minimum 2-3 years of experience in corporate travel coordination, event planning, or travel desk administration, including direct experience handling invoice processing and billing reconciliation.
  • Strong proficiency in managing receipts, auditing expense reports, and collaborating with corporate accounting or finance teams.
  • Proven experience with global distribution systems (GDS), online booking tools, and corporate expense software (e.g., Concur, SAP, Expensify).
  • Strong negotiation and relationship-building skills with international hotel chains, airlines, and venues.
  • Exceptional written and verbal communication with executives, accounting teams, and premium clients.
  • Outstanding time-management, multitasking, and attention to detail when handling multiple bookings and financial records.

Responsibilities

  • Plan, book, and manage end-to-end international air travel, ground transportation, and hotel accommodations for sales team members and international clients.
  • Identify, negotiate with, and secure banquet halls, meeting rooms, and venues in different countries for property showcases and investor events.
  • Collect, verify, and process vendor invoices, flight receipts, and hotel bills; reconcile corporate credit card statements and assign expenses to correct budgets.
  • Create comprehensive travel and event itineraries aligned with schedules and time zones.
  • Negotiate competitive rates with airlines, hotel chains, and event vendors to minimize costs and track expenditures against budgets.
  • Monitor passport, visa, health documentation, and entry requirements for various destinations.
  • Provide real-time on-call support for flight delays, cancellations, or booking modifications across time zones.
  • Other duties as assigned in line with portfolio.

We are seeking a highly organized and detail-oriented Corporate Travel and Events Coordinator to manage international travel logistics, event venue sourcing, and financial documentation for our real estate sales team and high-net-worth clients. In this role, you will be responsible for seamlessly coordinating complex international flights, hotel accommodations, and booking premium banquet venues across various countries. Additionally, you will oversee the end-to-end invoice processing and reconciliation for all travel and event expenditures. The ideal candidate possesses excellent negotiation skills, strong financial accuracy, and the ability to thrive under tight deadlines.


Responsibilities

Key Responsibilities



  • International Travel Management: Plan, book, and manage end-to-end international air travel, ground transportation, and hotel accommodations for sales team members and international clients.


  • Venue Sourcing & Booking: Identify, negotiate with, and secure banquet halls, meeting rooms, and event venues in different countries for property showcases, investor dinners, and sales seminars.


  • Invoice Processing & Reconciliation: Collect, verify, and process all vendor invoices, flight receipts, and hotel bills; reconcile corporate credit card statements and ensure all expenses are accurately assigned to correct budget codes.


  • Itinerary Coordination: Create comprehensive, detailed travel and event itineraries, ensuring alignment with sales schedules, time zones, and client preferences.


  • Budget & Expense Management: Negotiate competitive rates with airlines, corporate hotel chains, and event vendors to minimize costs; track expenditures against event budgets and flag variances.


  • Visa & Compliance Assistance: Monitor and advise travelers on passport, visa, health documentation, and entry requirements for various international destinations.


  • On-Call Support: Provide real-time assistance and problem-solving support for travelers experiencing flight delays, cancellations, or booking modifications across different time zones.


  • Any other work that may be assigned to you in line with your portfolio.




Qualifications

Required Skills and Qualifications



  • Experience: Minimum of 2-3 years of experience in corporate travel coordination, event planning, or travel desk administration, including direct experience handling invoice processing and billing reconciliation.


  • Financial Literacy: Strong proficiency in managing receipts, auditing expense reports, and working alongside corporate accounting or finance departments.


  • Technical Proficiency: Proven experience working with global distribution systems (GDS), online booking tools, and corporate expense software (e.g., Concur, SAP, Expensify).


  • Vendor Negotiation: Strong negotiation and relationship-building skills with international hotel chains, airlines, and venue operators.


  • Communication: Exceptional written and verbal communication skills, with the ability to interact professionally with corporate executives, accounting teams, and premium clients.


  • Organizational Skills: Outstanding time-management capabilities, multitasking skills, and a sharp attention to detail when handling multiple bookings and financial records concurrently.



Preferred Qualifications



  • Bachelor’s degree in Accounting, Finance, Hospitality Management, Business Administration, or a related field.


  • Fluency in multiple languages is highly advantageous due to the international scope of the role.
