Job summary

A leading electrical and instrumentation firm in the United Arab Emirates is seeking an experienced recruitment coordinator. This role involves providing recruitment support, coordinating mobilization processes, managing the recruitment database, and ensuring compliance with local government requirements. The ideal candidate should have a Bachelor’s degree and 3-4 years of relevant experience, including a minimum of 2 years in the UAE within the oil & gas or construction industry.

Qualifications

  • Bachelor Degree in Business Administration, BBA or B.Com.
  • 03-04 years of experience, with at least 02 years in UAE in similar responsibilities in the oil & gas/petrochemical or construction industry.

Responsibilities

  • Provide recruitment support and participate in recruitment campaigns.

JOB SUMMARY
  • Work closely with HRBP and team, provide recruitment support by participating in recruitment campaigns and selection of resources for projects.
  • Carry out mobilization coordination with agencies and internally with ADM / PRO team to complete the documentation for readiness to work at project site locations.
DUTIES & RESPONSIBILITIES
END TO END RECRUITMENT
  • As per approved manpower plan, contact with agencies and share the requirements for sourcing of candidates. Plan and carry out recruitment campaigns outside of UAE and involve in selection of candidates. Submit Agency proposal for sign as per group policy.
  • Regularly communicates with recruitment agencies for upcoming hiring plans for blue collared workers and supervisors.
  • Create vacancies in ATS, arrange interviews and follow up with Line Managers on selection.
  • Process offers in ATSand ensure that selected candidates have accepted the offers and positions are closed.
  • Assist HRBP sourcing supervisory level and above roles and when required.
  • Support when required for onboarding formalities in the system and pre-arrival orientation to employees.
  • Create pool of candidates recruited frequently and maintain database and keep in touch with potential candidates.
  • Update statistics as per established dashboards.
EMPLOYEE MOBILIZATIONS TO UAE AND SITE READINESS
  • Update the manpower deployment for junior positions for major projects and keep track of mobilization dates.
  • Coordinate internally with Admin Coordinators and submit documents for visit visas. Provide mobilization dates and get the tickets for selected candidates.
  • Work closely with Administration for accommodation requirements. Coordinate with the camp supervisor and inform him about the arrivals and provide him with the list of employees.
  • Submit documents to HR Assistant for processing the employment visa in VMS and follow up on approvals.
  • Monitor Admin Coordinators to arrange visa medical, TAWJEEH Training, Emirates ID registrations to complete the residency.
  • Follow up with Admin Coordinators and ensure that they have completed the ADNOC medical, other necessary trainings and PRO has applied for the CIPIA, and OPTIMA has been processed. This is applicable during the first mobilization.
MANPOWER COORDINATION
  • Work closely with HRBP and team on manpower coordination, this requires checking the resources getting free and can be assigned on another project or release.
  • Work closely with HRBP and Planning & Control Department for resource planning for blue collared and supervisors so that resources can be utilized / reshuffled properly.
  • Update the list of employees and projects assigned as per specific format.
MISCELLANEOUS
  • Assist in generalist activities for HR & ADM Department and tasks that warrant urgent actions.
QUALIFICATIONS
  • Bachelor Degree in Business Administration, BBA or B.Com
  • 03-04years of experience and at least 02years in UAE with similar responsiblities in oil & gas / petrochemical or construction industry.
EXPERIENCE
  • Experience level : 03-04years.
  • Experience of recruitment campaigns within UAE or outside UAE
  • HSE compliance and ability to work in multidisciplinary teams.
SKILLS & PROFESSIONAL REQUIREMENTS
  • Knowledge of general guidelines of overseas mobilization and local government authorities requirements.
  • Knowledge of Talent Acquisition & Recruitment
  • Presentation and negotiation skills.
  • Strong computer skills including knowledge of Microsoft office products, specifically Outlook, Excel, PowerPoint, and Word.
